Events Manager
The Events Manager is responsible for coordinating and overseeing the planning, preparation, and execution of a wide variety of events hosted at First National Bank Arena. This position serves as the primary liaison between clients, university departments, promoters, vendors, and arena staff to ensure successful event operations from initial planning through post-event evaluation. The Events Manager is committed to delivering exceptional customer service while maintaining compliance with university policies, venue standards, and safety requirements.
Duties & Responsibilities:
- Serve as the primary point of contact for event clients, promoters, campus departments, and service providers throughout the event planning process.
- Develop and maintain positive working relationships with clients while providing exceptional customer service before, during, and after each event.
- Guide clients through venue policies, procedures, and operational requirements to ensure successful event execution.
- Coordinate event planning timelines, including event layouts, floor plans, setup specifications, insurance requirements, production schedules, and other logistical details.
- Gather, organize, and communicate all pertinent event information, including:
- Facility setup and room configurations
- Audio/visual and production requirements
- Staffing and operational needs
- Ticketing and box office information
- Event settlements, billing, and financial documentation
- Create and distribute comprehensive event information sheets to arena staff, university departments, and contracted service providers.
- Prepare event cost estimates and budget analyses for clients and internal stakeholders.
- Respond promptly and professionally to client questions, requests, concerns, and operational issues.
- Collaborate with internal departments, public safety, facilities, custodial services, ticketing, and external vendors to ensure seamless event operations.
- Serve as Manager on Duty for assigned events and provide on-site leadership during event execution.
- Attend planning meetings, operational briefings, and other meetings supporting venue operations.
- Report directly to the Director of Operations
- Perform other duties as assigned in support of arena operations.

· Proficiency with Microsoft Office Suite and standard business software applications.
· Ability to learn and utilize event management software and technology.

Hours:
Monday – Friday 8:00 a.m. – 5:00 p.m. Additional Hours as requested and/or needed Regular and reliable attendance This position requires a flexible work schedule, including evenings, weekends, holidays, and extended hours based on the arena's event calendar. Regular and reliable attendance is an essential function of this position.

Preferred Qualifications
· Experience creating and interpreting CAD event diagrams and floor plans.
· Candidates with basic CAD knowledge who are willing to complete additional training are encouraged to apply. Training will be provided by First National Bank Arena.
· Valid driver's license preferred.
Physical Requirements
· Ability to stand and walk for extended periods during event setup, execution, and teardown.
· Ability to lift, carry, and move materials weighing up to 25 pounds.
· Ability to navigate throughout the arena, including seating areas, concourses, stairways, and event spaces.
· Ability to work in a fast-paced environment while responding to changing priorities and operational needs.
Working Conditions:
This position is based at First National Bank Arena and includes both office and event-day responsibilities. The Events Manager is expected to work a flexible schedule, including evenings, weekends, holidays, and extended hours as required to support the arena's event calendar.
Minimum Qualifications:
High school diploma or equivalent required. Bachelor's degree in Event Management, Hospitality Management, Sports Management, Business Administration, or a related field preferred. An equivalent combination of education and relevant experience may be substituted for the stated qualifications, subject to approval by the appropriate qualifications review committee.
