Area Office Administrator I – YL Joplin
Job SummaryThis part‑time (5 hours per week) position supports ministry activity in the Joplin area for Young Life and Capernaum. The role focuses on administrative support for the field ministry area office, with responsibilities for communications, event administration, accounting, and volunteer coordination. Candidates must live locally, be able to learn new technology platforms, and manage mailings and online postings.
Essential Duties- Provide administrative support to the Young Life field ministry area office.
- Answer correspondence, emails, phone calls, voicemail, and perform filing and mailings.
- Gather and edit newsletter content, create postcards, flyers, maps, and newsletters.
- Send prayer emails, monthly updates, personal support mailings, and donor thank‑you letters.
- Maintain the area M‑Site and email distribution lists.
- Process donations and maintain donor and leader databases, ensuring up‑to‑date forms and background checks.
- Manage monthly expenses, budgets, bank account records, FDT, and expense reports; handle accounting tasks such as bill payment and financial reporting.
- Track and report vacation, sick and personal days for area staff and submit hourly staff timesheets.
- Coordinate area staff, leadership and committee meetings; oversee event administration for camps, banquets, golf marathons and auctions.
- Track camp participation, payments, health forms, and fundraising earnings; send communications to parents and handle marketing.
- Create event materials (invitations, sponsor packets, program, donor cards) and track guests, sponsors, RSVPs and donations.
- Provide training to office assistants, directors, committee members, volunteer leaders and other staff on administrative processes and applications.
- Maintain confidentiality, customer service, and work effectively in an office environment.
Office environment; part‑time, 5 hours per week; flexible scheduling required.
EducationHigh school education or equivalent. Associate’s degree preferred; ongoing education encouraged.
Experience and Skills- Previous administrative assistant experience preferred.
- Typing speed of 55–60 words per minute with few errors.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills, attention to detail, and ability to multitask amid interruptions.
- Good grammar and strong written and verbal communication skills.
- Ability to maintain confidentiality.
- Basic accounting skills.
- Detail‑oriented multitasking ability.
- Relational skills with both children and adults.
- Initiative in developing processes and systems around events.
- Excellent customer service skills.
