Qualifications:
3+ years of successful secretarial, administrative, or office management experience (preferably within a K12 educational environment). Good typing ability Experience with Microsoft Office and other computer programs. Strong communication skills Time-management skills with an ability to prioritize tasks in a fast-paced environment Strict adherence to student privacy laws, including FERPA (Family Educational Rights and Privacy Act). Effective Organizational skills

Performance Responsibilities:
- Front Office Management & Operations
- Answer phones calls from parents, district, and community regarding school, students and other questions.
- Oversees daily front office operations, ensuring a welcoming, efficient, safe, and professional environment for visitors, staff, and students.
- Provides direct administrative assistance to the Principal and Assistant Principals (e.g., managing calendars, preparing meeting agendas, drafting correspondence, and organizing campus events).
- Manages school-wide digital and print communications, including online calendar, newsletters, email broadcasts, mass notification updates, and daily morning announcements.
- Manages campus social media, alerts communications as directed by admin.
- Manages daily staff attendance tracking, coordinate substitute teacher check-ins, and ensure classroom coverage in alignment with district protocols.
- Manages office supplies, classroom resources, and instructional materials inventory; orders supplies and processes incoming deliveries.
- Enforces campus security procedures by managing visitor check-in systems (e.g., Raptor), issuing badges, and verifying identification.
- Serves as a key administrative hub during emergency drills and actual crises, maintaining access to student emergency contact forms, medical action plans, and staff radio communications.
- Student Registration & Records
- Assists counselors, nurse and registrar with paperwork for new students.
- Assists registrar with cumulative folders.
- Request records from former school.
- Send grade transfers to teachers.
- Assists with maintaining student files as needed.
- Enters student schedule and give schedule to student.
- Assists Registrar with filing enrollment forms each year.
- Ensure grades are finalized and maintain end of year cumulative folders.
- Secretary
- Create student certificates at the end of the year.
- Ensure letters are sent to schools and parents regarding grades and records.
- Maintain District van records in conjunction with Athletics and Student Activities Director.
- Request and maintain transportation requests for campus.
- Maintain records for campus keys.
- Help with creating, printing, and assembling campus materials.
- Create end of season athletic letters and awards for coaches.
- Faculty/Staff Absence Reports
- Collect absence slips from faculty/staff.
- Keep record of absences.
- Send absence slips to payroll.
- Make sure all Time Sheets are filled out properly and sent to payroll.
- Check Time records for Classified employees.
- Make copies of all absence reports.
- Check computer list of absences from payroll each month against school records.
- Miscellaneous
- Up-dating campus directory.
- Train and help new office personnel.
- Key Operator for copy machine.
- Assist to maintain Athletic records, such as sports physicals, coach folders, and contracts.
- Assist with Athletic parent meetings.
- Create athletic programs.
- Assist with Athletics and Student Activities programs as needed.
Term of Employment: 12 Months
Salary Range:
Level 7- $19.01-$20.01
Evaluation Frequency:
Job performance will be evaluated a minimum of one time per year.
