Position: Administrative Assistant 2

This position is open to Alaska residents only. The definition of Alaska residency can be found in the Alaska Department of Revenue website.

What You Will Be Doing:

The Administrative Assistant 2 supports the Administrative Operations Manager in meeting division goals. Responsibilities include providing clerical support; processing accounts payable and receivable; coordinating travel; and performing other administrative duties such as mail processing, answering calls, and preparing materials for stakeholder meetings.

The incumbent will be the primary processor of invoices and accounts payable for the division, ensuring accuracy, applying correct financial coding, managing encumbrances, purchase orders, and contracts, and tracking expenditures and adjustments.

Travel planning support will be provided, including policy, procedure, and coordination assistance. Timely clearing and coding of travel charges will be ensured through effective communication with outside agencies.

Minimum Experience and

Education Requirements:
  • Six months of entry‑level technical experience in one or more administrative functional areas (e.g., human resources, accounting, administration, procurement).
  • One year of advanced‑level clerical experience (e.g., Office Assistant 2, Accounting Clerk).
  • One year of post‑secondary education from an accredited college (32 semester hours or 48 quarter hours).
  • One year of any combination of post‑secondary education, vocational education, and/or advanced‑level clerical experience.

    Note:

    Examples of Entry‑Level Technical Experience Include:
    • Assisting in the preparation of reports reflecting examinations, discrepancies, and corrective entries for adjusting accounts.
    • Verifying the accuracy and completeness of accounting data and documents, determining ledger accounts, journal entries, and preparing encumbrances, expenditures, and adjustments.
    • Preparing standard and ad‑hoc reports, making projections, analyzing trends, and recommending promotional materials.
    • Receiving supply requests, reviewing and approving them for completeness, and preparing documents such as purchase orders and bid specifications.
    Examples of Advanced Clerical Experience Include:
    • Reviewing complex applications or documents, searching files and regulations for accuracy, and applying criteria, rules, regulations, and policies.
    • Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using established guidelines and procedures.
    • Managing time sheets, appointment paperwork, and required drug testing notifications for employees with a valid Commercial Driver's License.
