Office Manager Role:The Office Manager plays a key role in ensuring the smooth and efficient operation of our Kona office. This position serves as a central hub for administrative coordination, staff support, and office management, helping teams work effectively and supporting the organization's mission and services.
The ideal candidate is organized, proactive, collaborative, and thrives in a fast-paced environment. This individual is committed to providing excellent internal and external customer service while maintaining efficient office systems and processes.
Key Responsibilities Office Operations & Administration- Oversee daily office operations and maintain a professional, welcoming, and efficient work environment.
- Serve as the primary point of contact for office-related inquiries, visitors, vendors, and phone communications.
- Coordinate administrative processes, records management, and communication across departments.
- Maintain office records, filing systems, and administrative documentation in both electronic and physical formats.
- Ensure consistent front-office coverage and an effective office workflow.
- Support leadership and staff with administrative needs, special projects, and operational initiatives.
- Collaborate with administrative and program teams to ensure effective communication and workflow.
- Provide guidance and support to administrative support staff as assigned.
- Identify and implement process improvements that enhance efficiency and effectiveness.
- Oversee the ordering, inventory, and organization of office supplies and equipment.
- Assist with recruitment and onboarding activities, reviewing applicant materials, scheduling interviews, coordinating candidate communications, and supporting new hire onboarding and orientation processes.
- Coordinate employee timesheet collection and review to support accurate and timely payroll processing.
- Ensure compliance with agency policies, procedures, and documentation standards.
- Manage office supply inventory, equipment, and vendor coordination to support daily operations.
- Maintain confidentiality of employee, client, and organizational information.
- High school diploma or equivalent.
- Two (1) years of office administration, office management, or related experience, or an equivalent combination of education and experience.
- Proficiency with Microsoft Office Suite, Google Workspace, and office equipment.
- Current TB clearance (or willingness to obtain before start).
- Current CPR & First Aid certification (or willingness to obtain before start).
- No history of abuse, neglect, theft, or other disqualifying convictions.
- Must pass a drug test and a criminal background check.
- Valid state-issued driver's license and automobile insurance.

- Full-time, hourly position based in Kailua-Kona | Starting at $22.50, with a potential increase after 90 days of successful onboarding.
- Schedule:
Office hours are Monday - Friday, 8:30 am - 4 pm. - Paid Time Off (PTO) for full-time employees.
