Receptionist Position Summary
The Receptionist serves as the first point of contact for hospital and/or clinic patients and visitors, providing exceptional customer service while ensuring the efficient operation of the medical office. This role is responsible for managing front-desk activities, scheduling appointments, verifying insurance information, maintaining patient records, and supporting clinical and administrative staff.
Key Responsibilities Patient Reception & Customer Service- Greet patients, visitors, and vendors in a professional and courteous manner.
- Answer and direct incoming phone calls promptly.
- Assist patients with check-in and check-out procedures.
- Address patient inquiries and resolve concerns while maintaining confidentiality.
- Provide information regarding office policies, procedures, and services.
- Send appointment reminders and follow up on missed appointments.
- Maintain accurate appointment records within the electronic medical record (EMR) system.
- Verify patient demographics and update records as needed.
- Collect copayments, deductibles, and outstanding balances.
- Verify insurance eligibility and obtain required authorizations.
- Process referrals, forms, and medical records requests.
- Maintain filing systems and ensure accurate documentation.
- Assist providers and clinical staff with administrative tasks.
- Order and maintain office supplies as needed.
- Support workflow efficiency and contribute to a positive patient experience.
- High school diploma or equivalent.
- Minimum of 1 year of customer service, reception, or administrative experience.
- Proficiency with Microsoft Office Suite and basic computer applications.
- Strong communication, organizational, and multitasking skills.
- Ability to maintain confidentiality and professionalism.
- Previous experience in a medical office, clinic, or healthcare environment.
- Knowledge of medical terminology.
- Experience with EMR/EHR systems.
- Understanding of insurance verification and medical billing processes.
- Excellent interpersonal and customer service skills.
- Strong attention to detail and accuracy.
- Ability to prioritize tasks in a fast-paced environment.
- Professional telephone etiquette.
- Effective problem-solving and conflict-resolution abilities.
- Ability to work independently and as part of a team.
- Ability to sit, stand, and walk for extended periods.
- Frequent use of computers, phones, and office equipment.
