We are looking for a dedicated Administrative Coordinator to join our team in Kalamazoo, Michigan. This contract position requires a detail-oriented individual to provide essential administrative support in an educational university environment. The role involves managing office operations, overseeing event coordination, and ensuring smooth communication across various departments.
Shifts:
Monda-Friday 9-4pm, with 30 min for unpaid lunch
Dates:
March 4 through to about April 17
Top experience preferred:
+ Strong customer skills with people from various backgrounds, including students, professors, and visitors
+ Excellent organizational skills
+ Basic office skills
Responsibilities:
- Oversee daily office operations, including ordering supplies, supervising student workers, and providing technical and media support to faculty.
- Manage room reservations, coordinate media services, and liaise with help desk and facilities teams.
- Collect and organize syllabi and other departmental documents.
- Confirm and support pre-planned events, ensuring all logistical details are in place.
- Coordinate small-scale events or meetings as needed.
- Track project progress and maintain accurate documentation.
- Manage calendars and schedules to ensure efficiency and organization.
- Handle expense reimbursements and maintain records for financial tracking.
Requirements - Proven experience in administrative support within an academic or detail-oriented setting.
- Strong organizational and time management skills.
- Ability to coordinate events and manage logistics effectively.
- Proficiency in calendar management and scheduling tools.
- Skilled in supervising and supporting student workers or team members.
- Familiarity with managing office supplies and handling expense reimbursements.
- Adept at using technology and media services to assist faculty.
