POSITION SUMMARY

Kalamazoo County Land Bank Authority (KCLBA) - Hiring Full-Time - Operations Coordinator

The Operations Coordinator supports the day to day responsibilities of the Kalamazoo County Land Bank Authority (KCLBA), a public corporation focused on repurposing and revitalizing abandoned and blighted properties in Kalamazoo County. Working as part of a small, flexible team, the role provides operational and administrative support across contract management, real estate transactions, and front line public services, with responsibilities evolving based on project and grant cycles.

This position offers a broad exposure to community development, public sector operations and business management.

KEY RESPONSIBILITIES/ESSENTIAL DUTIES OF POSITION

  • Serve as the primary administrator and point of contact for the E Property Plus (EProp Plus) property management database, including contract administration, system updates, data entry, modifications, and coordination of updates with vendors.
  • Provide administrative and technical coordination for Land Bank property research and database integrity.
  • Maintain working knowledge of Land Bank real estate policies and procedures and review transactions to ensure compliance.
  • Coordinate and complete key components of real estate transactions, including preparation of deeds and related legal documents, document review, settlement statement review, and ensure transactions are complete and ready to close.
  • Oversee contract compliance on assigned properties, verifying completion of work in coordination with third-party professionals (e.g., architects) and ensuring Land Bank standards are met prior to payment.
  • Prepare contract documentation for Executive Director review and approval, including payout requests, close-out documentation, and related materials.
  • Front-line contact for the agency, answering the main phone line, responding to general inquiries and complaints, and directing calls appropriately.
  • Provide supportive services for facility, managing rentals at Riverview Launch and preparing board meetings.
  • Manage special projects as needed.

QUALIFICATIONS

  • At least 2-5 years  experience in leadership or operations.
  • Results driven with a focus on performance, quality and continuous improvement.
  • Aptitude in problem solving and decision making.
  • Experience with accounts payable, cash receipts and maintenance of general ledgers.
  • Demonstrates unwavering integrity and leads with a strong ethical foundation.

PREFERRED QUALIFICATIONS

  • College degree in Public Administration, Accounting, Planning, Business or relevant advanced degree preferred.
  • Demonstrated ability to support board operations, including planning and scheduling meetings.
  • Strategic thinker with strong execution capabilities.
  • High emotional intelligence and ability to lead through influence.

WORK ENVIRONMENT

  • This role typically operates in a professional office setting.
  • Fast-paced, deadline-driven environment requires flexibility and strong attention to detail.
  • Must be able to communicate effectively in both in-person and virtual environments.

PHYSICAL DEMANDS

  • Occasional standing, walking, or lifting up to 15 pounds.
  • This position may require the ability to use a computer for extended periods of time.
  • May occasionally be required to travel to attend conferences or other related events.
