Are you an organized, detail-oriented professional who thrives in a fast-paced environment? Samaritas is seeking an Office Coordinator to serve as the central hub of our office operations. In this vital role, you'll provide administrative, reception, and operational support while helping ensure a welcoming experience for staff, clients, and community partners.

What You'll Do
Administrative & Reception Support
  • Serve as the first point of contact for visitors, clients, and callers, creating a professional and welcoming environment.
  • Answer and direct incoming calls, greet guests, and respond to inquiries.
  • Maintain staff schedules and coordinate daily office communications.
  • Monitor and distribute incoming and outgoing mail.
Office Operations
  • Maintain efficient office systems for handling petty cash, mail, phone messages, reports, and correspondence.
  • Inventory, monitor, and distribute office supplies and equipment.
  • Recommend and coordinate purchases with appropriate approvals.
  • Arrange maintenance and repairs for office equipment, telephones, computers, and facilities as needed.
Data Management & Reporting
  • Create, maintain, and update databases and records.
  • Generate reports and provide administrative support to leadership and program staff.
  • Assist with maintaining financial databases, as applicable.
Safety, Security & Event Coordination
  • Coordinate office security, safety, and wellness initiatives.
  • Communicate changes to building policies and procedures to staff.
  • Support planning and coordination of office events, meetings, and special programs.
Team Support
  • Assist with staff training coordination, quality monitoring, and program audits.
  • Support recruitment efforts, including interviewing, hiring, and onboarding activities.
  • Provide backup administrative support to managers and leadership as needed.
What You Bring
Education
  • High School Diploma or equivalent required.
  • Coursework in business administration, office management, or a related field preferred.
Experience
  • Minimum of two years of office administration, reception, or related experience preferred.
Knowledge, Skills & Abilities
  • Excellent customer service and interpersonal skills.
  • Strong organizational, multitasking, and prioritization abilities.
  • Ability to work independently while managing multiple responsibilities.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong verbal and written communication skills.
  • Ability to prepare professional business correspondence, reports, and summaries.
  • Basic mathematical skills, including calculating percentages and performing arithmetic functions.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Experience working with diverse populations with compassion, professionalism, and respect.
