Responsibilities
  • Build, administer, and proctor examinations following detailed guidelines.
  • Serve as lead proctor for scheduling, administering, and reporting on internal examinations.
  • Collaborate with the IT department to ensure backup technology and support staff are available for examinations.
  • Create, schedule, proctor, and track remediation exams.
  • Manage departmental database for tracking and administering examination accommodations.
  • Communicate with course/clerkship coordinators/directors for exam planning purposes.
  • Prepare confidential computer‑based, institutional examinations for WMed students.
  • Assist in the coordination and delivery of anatomy practical examinations.
  • Create and manage online examination testing software question bank.
  • Provide technical support and troubleshooting for exams and escalating issues to appropriate software vendors.
  • Assist with creation of assessment and evaluation tools in learning/curriculum management systems.
  • Provide training and support on testing software to faculty, staff, and students.
  • Assist with training new exam proctors on institutional protocols and best practices.
  • May serve as Executive Chief Proctor for scheduling, administering, and reporting on NBME examinations.
  • Facilitate course/clerkship assessment and engagement and professionalism tools with coordinators/directors.
  • Produce annual schedules for exam creation, development, and administration.
  • Maintain testing category/mapping tags for reporting purposes.
  • Assist manager with course enrollment, leave of absence, and accommodation tracking.
  • Assist Medical Education Specialists with development and revisions of program evaluation tools.
Data Management
  • Maintain course/clerkship exam data in the learning management platform, exam administration systems, and Microsoft SharePoint.
  • Collaborate with course coordinators to verify quiz participation and scoring.
  • Create, maintain, and report on student performance data across multiple software platforms.
  • Assist with program evaluation, student performance, and accreditation reporting for curriculum committees and accreditation needs.
  • Manage assessment/mapping data for all courses and clerkships.
  • Produce curriculum data, reports, and documentation of medical school processes for HLC, LCME, etc.
General Tasks
  • Create new and/or revise existing grade books in the learning/curriculum management systems.
  • Assist the team with learning/curriculum management system ticketing management.
  • Acquire knowledge of new technology and policy/procedure revisions.
  • Be available to work occasional overtime on weekends or evenings to complete time‑sensitive projects.
  • Perform all other duties as assigned.

Qualifications
  • Bachelor’s degree in education, business administration, or a related field preferred; or a minimum of two years in an administrative or educational setting.
  • Proficiency with email, electronic calendaring, and office equipment.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint).
  • Experience with Apple technology preferred.
