Reporting to the Executive Director, the Visitor Services and Development Associate attends to and corresponds with visitors, donors, and members and provides information regarding the museum and its programs to the general public. This position is in charge of directing external communications to appropriate staff, as well as completing a variety of administrative and event preparation duties and maintaining the membership and donor database and mailings.

Visitor Services and Development Associate is also responsible for supporting the Executive Director and staff with fundraiser events, such as our premier arts and music festival Arts in the Park, exhibits, external marketing and communications, and assistance with education programs for all ages. This position must be friendly and welcoming to visitors, dependable, trustworthy, discrete, strong attention to detail, and organized.

The Visitor Services and Development Associate must also be a positive ‘first face’ to our public and partners, and be able to work well in a professional, collaborative, fast-paced, team environment.

Candidates must have excellent communication and organization skills and be very adept and comfortable with digital technology and computer software systems. Previous administrative, reception, development, communications, and event experience preferred. We are willing to train museum-specific job functions for the right candidate.

Essential

Job Duties and Responsibilities
  • Manage membership and donor correspondence, monthly renewal mailings, database entry, school memberships, and tracking.
  • Scheduling public and school tours.
  • Assist with class and event registrations, dues, and online form management.
  • Direct incoming calls and emails, provide information on exhibits, programs, classes and events, and provide accurate messages to staff in a timely manner.
  • Open and close the museum galleries, greet museum patrons, operate POS system and process guest and daily sales, and prepare opening and closing daily sales and deposits.
  • Assist with Arts in the Park, Benefit Gala + Art Auction, and other fundraising events coordination and correspondence.
  • Assist with member and public events and programs including: accepting and tracking RSVPs and ticket sales, set up and take down, and helping event patrons.
  • Assist Executive Director and Senior staff with grant applications.
  • Professional and discreet correspondence with artists, donors, and community partners.
  • Help maintain gift shop inventory and displays, responsible for professional museum presentation.
  • Other duties as assigned.
Education and Experience
  • Bachelors or Associates Degree in non-profit management, business, communications, museum studies, or art education preferred.
  • Outgoing and friendly disposition.
  • Excellent internal and external communication and correspondence skills.
  • Customer service experience; able to work well with diverse populations.
  • Ability to communicate effectively with individuals of varying social and cultural backgrounds in a professional and discreet manner.
  • Attention to detail and organized.
  • Demonstrated ability to multi-task and work in a fast-paced environment.
  • Interest in the arts and museums. Appreciation of nature and the outdoors, familiarity with Glacier National Park and Montana a plus.
  • Cash handling and Point of Sale system skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and donor database software or similar required. Basic knowledge of Google docs, forms, and other cloud-based software;
    Familiarity with other software, including Adobe Creative Suite, presentation software, internet research databases, and social media platforms, a plus.
  • Takes initiative, able to work independently and will carry out work assignments with little supervision, in a timely manner.
  • Capable of following set procedures and protocols.
Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to climb stairs, stand, walk, lift, and stand on ladders and assist with light cleaning.

The employee is required to sit and stand and reach with hands and arms. The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.

Additional Requirements

Must have valid Montana driver’s license, clean driving record, and reliable transportation. Must be available to work Saturdays and occasional evening and weekend events.

This is a part-time, hourly position for 18-20 hours per week, 3 days a week (Tuesday-Thursday, some Saturdays, occasional evenings, and seasonal weekend events required). Wage: $18 per hour. Pro-rated vacation and sick leave, paid holidays.
