Express Employment Professionals is seeking a detail-oriented and professional Office/Finance Assistant for a local company. This position is ideal for someone with a strong administrative background who enjoys supporting office operations, finance functions, and employee onboarding in a fast-paced environment.
Pay: $21.00 per hour
Schedule: 30-40 hours per week
Location: Local Company
The Office/Finance Assistant serves as a key support role for the office and finance team, helping ensure smooth daily operations while providing administrative, bookkeeping, payroll, and HR support. This position requires excellent organizational skills, professionalism, attention to detail, and the ability to maintain confidentiality.
Responsibilities Office Administration- Greet walk-in clients, subcontractors, vendors, and guests with professionalism and a positive attitude
- Manage incoming and outgoing mail, packages, and correspondence
- Complete bank, mail, and other business-related errand runs
- Perform data entry, filing, copying, scanning, and general office support duties
- Manage inventory and ordering of office supplies and equipment
- Coordinate outside cleaning services
- Prepare meeting materials and company documents
- Maintain employee phone directories and distribute updates as needed
- Coordinate employee recognition efforts, including birthdays and anniversaries
- Verify purchase orders against vendor billing and research discrepancies
- Work with Project Managers, vendors, and subcontractors regarding billing questions
- Review job costing reports and assist with financial tracking
- Copy and organize invoices for client billing
- Produce equipment, management, and shop billing reports
- Reconcile client billing statements
- Support the Vice President of Finance with administrative and finance-related tasks
- Assist with employee onboarding and new-hire administration
- Maintain and distribute new-hire paperwork packets
- Support timecard tracking and recordkeeping for payroll processing
- Assist with general HR functions and employee benefit administration
- Handle sensitive and confidential information with discretion
- Minimum of 3 years of administrative experience
- 1-3 years of bookkeeping, accounts payable experience
, or a degree in Accounting, Finance, or Business Administration - Proficiency with Microsoft 365
- Strong data entry and organizational skills
- Excellent verbal and written communication abilities
- Strong understanding of internal controls and office procedures
- Ability to work independently and meet deadlines

- Strong analytical and problem-solving abilities
- Professional demeanor with the ability to maintain confidentiality
