Thompson-Nicola Regional District Receptionist

The Role

Reporting to the Executive Assistant, the Receptionist performs clerical duties, operates the multi‑line telephone system and provides information to internal staff, external contacts and the public as required. The Receptionist provides a welcoming environment for visitors by greeting them, directing them to the appropriate contacts or services, and providing general information in person and by phone.

Primary duties include:
  • Greet people coming into the office
  • Provide general information in person and by phone
  • Operate multi‑line telephone system to answer, screen, and forward calls
  • Perform clerical duties, including maintaining internal lists, mass mail outs, etc.
  • Maintain calendar bookings for fleet vehicles
  • Forward and track online public submissions / customer service requests
  • Handle eco‑depot card sales; collect payments, process payment receipts; operate POS terminal
  • Assist Executive Assistant with conferences and Board meetings preparation, catering orders and other event planning tasks
  • Process and distribute incoming mail, packages, organize outgoing courier pick‑ups, etc.
  • Order for and maintain office supply room, kitchenettes, breakrooms, etc.
  • Other duties as required
Job Requirements

Education and Experience
  • An Office Administration, Public Administration or related certificate and at least one year of reception or customer service experience
Knowledge,

Skills and Abilities
  • Excellent written and verbal communication skills
  • Strong clerical skills, must be able to perform clerical duties with speed and accuracy
  • Knowledge of standard office procedures and experience using typical office tools and equipment such as computers, scanning equipment, photocopiers, Microsoft Teams, mail machine and point of sale terminal
  • Proficiency in Microsoft 365 programs including:
    • Intermediate knowledge of Outlook, including calendar management, emails, etc.
    • Basic knowledge of Word, including creating documents, updating lists, etc.
    • Basic knowledge of Excel, including data entry, etc.
  • Experience with VADIM and Strong is an asset
  • Exceptional customer service skills with the ability to provide courteous and helpful client service, must have the ability to assess, analyze and respond to questions in regards to public enquiries
  • Ability to work effectively on own and within a team environment
  • Ability to handle cash transactions
  • Time management skills – ability to organize work schedules efficiently and effectively meet deadlines
  • Strong multi‑tasking and prioritizing skills

This position requires a Criminal Record Check and valid BC Class 5 Driver's License.

The Receptionist position falls under the provisions of the Collective Agreement with the Canadian Union of Public Employees Local 900, at Pay Grade 1, which is $2,032.53 to $2,319.84 biweekly (2025 rates).
