Purpose Of Position

The Museum Administrator is responsible for performing financial, administrative and clerical services for the day-to-day operations and will perform various tasks including maintenance of internal financial records, such as accounts payable and accounts receivable documents, distribute relevant request forms, maintenance for filing all correspondence, documents, and reports.

Duties And Responsibilities

The Museum Administrator provides administrative, financial, and clerical duties. The position is responsible for scheduling all Secwepemc Museum and Residential school tours, presentations, workshops, lectures, events, meetings, conferences, and training. The work involves interacting with the public (95%).

Leadership
  • Will attend meetings and events in lieu of Museum Supervisor if scheduling conflicts
  • Will be responsible for general supervision of the museum if the Museum Supervisor is not in attendance
  • Will develop and maintain relationships with tourism, school, and museum organizations to further the mandate of the museum
Strategic Leadership
  • Assist in the development and implementation of a clear vision and mandate and establish long and short-term goals for the Museum.
  • Serve as liaison between the Language and Cultural Educator and SD73, other schools, post-secondary institutes and other stakeholders for providing tours.
  • Serve as first point of contact for museum visitors
  • Will serve as a liaison between the Secwepemc Museum and internal and external partners to host tours, presentations, workshops, lectures, events, conferences, and training
Financial Management
  • Will work with the Museum Language and Cultural Educator to schedule all educational and cultural presentations, Museum and Residential school tours, and will invoice the schools or organizations and submit to TteS finance department.
  • Schedule tours for the Museum Interpreter that are not related to SD73 and schedule VIP tours as needed.
  • Forward donations to the Secwépemc Museum and Heritage Park and proper coding.
  • Review the monthly statement of income, and ensure budgets are spent and will make recommendations for the next fiscal year budget.
  • Maintains petty cash and completes daily cash reports; receives and deposits photo orders, gift shop, book sales, special events, workshops, admissions, archival fees, and donations.
  • Responsible for ordering office and giftshop supplies for the museum, processes all museum purchase orders and invoices, and maintains related departmental files accordingly.
  • Invoices internal and external partners for all related museum activities.
Human Resource and Administration
  • Will aid in developing or updating handbooks or brochures.
  • Will develop social media, marketing and advertising materials in collaboration with SMHP staff.
  • Will provide supervision to contract workers, volunteers, and may supervise students who are unable to attend KIRS tours.
Community Relations
  • Will advocate the Secwepemc Museum’s Shuswap Mandate to external stakeholders and audiences including community organizations, schools, other museums, and educational institutes.
  • The incumbent will develop and maintain positive relationship with stakeholders.
  • Will assist in establishing and implementing a marketing and communications plan that supports the SMHP brand and reputation including website content, social media accounts, media relations and digital and printed materials.
  • Maintains the Museum calendar and coordinates all programs and services.
  • Exhibitions, Collections and Education
  • The position will be responsible for booking the Museum facility for assorted groups and workshops.
