Supports accountable business partners in mastering contractual challenges at all stages of the bid process in close cooperation with Legal Counsel and Project Management.

Reporting to the Head of Finance, Diagnostics Canada, the Contract Specialist will coordinate the request for proposal (RFX) process, generate quotations for the Diagnostics business, lead projects with various stakeholders and ensure deadlines are always met. Responsible for ensuring quotations and purchase orders are accurate and compliant with approved financials. Monitor and ensure contract terms and conditions are reviewed for alignment with SHL terms and conditions and approved by relevant stakeholders.

Ensure policies and procedures are adhered to.

Primary

Duties & Responsibilities:

• Responsible of coordinating the entire RFx and contract lifecycle process from initial intake tofinal submission and contract award and ensure deadlines are met
• Responsible for sourcing bid opportunities on various bid websites.
• Review of contractual terms and conditions, risk identification and coordinating all the activitiesbetween the customer and internal team to finalize and sign the contract
• Work and collaborate with cross functional teams, sales, marketing, finance and legal
• Participate and implement process and system improvement initiatives
• Produce quotations and proposals in French and English
• Validate and execute contract transactions
• Ensure policies and procedures are adhered to
• Respond to internal and external customer inquiries promptly
• Generate Service Renewals by using Service Force
• Monitor and ensure contract terms and conditions are adhered to
• Update contract information in SharePoint databases
• Maintain close communication with field employees
• Ensure policies and procedures and signature guidelines on agreements are adhered to

Qualifications & Skills:

• University or college degree with relevant experience
• Fluent French and English oral and written
• RFx project management experience
• Contracts administration experience with good understanding of terms and conditions
• Exceptional interpersonal and organizational skills
• Excellent oral and written communications skills
• Ability to problem solve effectively and independently
• Must be analytical and detail oriented
• Work effectively in a team environment
• Ability to manage tight and multiple deadlines
• Strong knowledge of Microsoft Office
• Working knowledge of SharePoint an asset
• A Paralegal License/Certificate and/or inhouse training with a Law Firm will be an asset
