SUMMARY

The Post-Award Grants Coordinator supports administrative coordination and the financial aspects of federal/state/private grants in compliance with generally accepted accounting principles, grant regulations, award terms and conditions. This position is structured to provide analytical oversight and to support the success of multiple grants, which is sustained through the use of multiple funds, including but not limited to indirect funds.

POSITION DESCRIPTION

* Collaborates with grant program coordinators, Pre-Award Grant Coordinator, and Finance department to monitor grant expenditures to ensure alignment with approved budgets and grant guidelines.

* Adheres to strict deadlines on invoicing, financial reporting, and other related activities involved in the management of grants and contracts.

* Coordinates the efforts, administrative processes, and functions of assigned accounts.

* Collaborates with grant program coordinators and others to prepare progress reports documenting program activities and fund expenditures.

* Collaborates with designated Finance and Operations staff in the support of the grants office for all financial functions related to awarded grants, including appropriateness of grant-related expenditures for post-award management, financial coding, accounting requirements, and policy changes.

* Collects required documentation for submission as required by grants and collaborates with the Controller or designee to document payments and expenditures.

* Acts as liaison between contracted external grant agencies and appropriate college personnel.

* Collects, monitors, and updates documentation for equipment purchased through grants, including ensuring proper tagging as required, and performs grant closeout functions including reconciliations and budget reports.

* Prepares for and participates in grant audits, providing documentation and support as needed.

* Provides a high level of customer service in answering questions and gathering information.

* Develops and fosters internal and external customer relations.

* Participate in grant training and other professional development activities.

* Other duties assigned by the Executive Director of the Foundation or the College President.

KNOWLEDGE, SKILLS, AND ABILITIES

* Demonstrated ability to review grant and external funding proposals, ensuring that completed proposals meet all internal and external requirements before submission.

* Ability to collaborate with college departmental staff on the preparation of grant and contract proposals to be submitted to external sponsors.

* Ability to efficiently complete administrative setup of grants and contracts in the financial system utilized by the College.

* Knowledge of financial record-keeping procedures and financial integrity protocols.

* Excellent verbal and written communication skills, along with strong interpersonal and relationship-building abilities to prioritize, negotiate, and collaborate with various internal and external stakeholders.

* Detail-oriented, with excellent organizational and problem-solving skills and the ability to manage multiple projects and quickly shift priorities as needed.

* Ability to prioritize project deadlines in a self-directed environment.

* Proven ability to manage sensitive and confidential issues, exercising independent judgment, discretion, and confidentiality as required.

* Possess the ability to cooperate and contribute in a team environment, as well as successfully work individually with limited oversight.

* Ability to develop and maintain excellent working relationships and establish credibility with all levels of employees in the organization.

* Proficient in MS Office Suite (Excel, Outlook, PowerPoint, and Word).

MINIMUM QUALIFICATIONS

* Associate's degree.

* One (1) year of successful experience in federal and/or state grant writing, grant management, and grant reporting.

* One (1) year of experience (can be concurrent) in handling various accounting tasks, such as accounts payable, accounts receivable, general accounting/bookkeeping, and cash handling, and utilizing computerized accounting software, including Microsoft Office.

* One (1) year of experience generating reports and reconciling accounts.

* Proficient in operating a 10-key with speed and accuracy, along with strong computer skills.

PREFERRED QUALIFICATIONS

* Bachelor's degree in accounting, Finance, or closely related field.
