Duties and Responsibilities
  • Contribute to a professional image of the General Manager's office by providing confidential, high level administrative and secretarial support. *
  • Professionally and effectively interacts with Board members and the General Manager and members of his staff to provide support and communication. *
  • Prioritize workflow, manage and maintain calendars, schedule meetings and appointments, assist with both pre and post travel arrangements, provide services for any workshops and meetings upon request. *
  • Assist in the preparation, revision and distribution, and storage of legal and confidential documents, which include but are not limited to court summonses, complaints, motions and memoranda’s pertaining to various specific policies, operational practices and/or transactions. *
  • Prepare agendas and presentation material, compile reports, initiate invoice payments, reconcile procurement cards for company expenses incurred by staff. *
  • Assist with organization of the monthly board meetings. Attend board meeting that usually occur on the first and third Wednesday of each month. *
  • Other similar work duties as assigned. *
  • In the absence of the Executive Assistant, provide secretarial and diversified administrative functions of a highly responsible and confidential nature and serve as liaison to the Board of Directors. *
Qualifications MINIMUM EDUCATIONAL/EXPERIENCE REQUIREMENTS:
  • High school diploma or equivalent required
  • Five (5) years of work experience in the area of administrative support
  • Proficient with communications in both written and verbal form
  • Proficient in the use of word processing, spreadsheet, presentation software and all other related personal computer applications
  • Excellent interpersonal skills and exhibit strong, positive and professional image
  • Organized and possess the ability to prioritize tasks and projects upon request.
  • Must work well with others while supporting the goals, objectives and directions of the General Manager and members of his staff.
  • Experience with financial, technical and business communications is desirable.

While performing the duties of this job, the employee is frequently required to sit. The employee is occasionally required to walk. The employee must frequently lift and/or move up to ten (10) pounds and occasionally lift and/or move up to twenty-five (25) pounds. Specific vision abilities required by this job include close vision and distance vision. The noise level in this work environment is usually moderate.
