Clerkship Coordinator - Neurology

The Clerkship Coordinator is responsible for overall coordination and support for the administrative aspects of the neurology student program for MS3, MS4 and visiting students. The Clerkship Coordinator provides coordination and administrative support to the Clerkship Director, Associate Director, full-time, part-time and volunteer faculty for all related activities in the process of providing medical education. The Clerkship Coordinator maintains curriculum standards in quality and methods of instruction, maintains academic and grading standards, and manages other aspects of the teaching program as needed.

Job Duties

  • Coordinate and oversee the junior and ambulatory care clerkships for medical students in neurology in coordination with the Clerkship Director and Associate Director.
  • Coordinate elective rotations for medical students with general direction from the clerkship director.
  • Coordinate and facilitate a Neurology Clerkship orientation to each four-week rotation of MS3 and MS4 students.
  • Coordinate with Academic and Student Affairs to ensure accuracy of student grades and schedule changes.
  • Update the syllabus and training materials as directed. Coordinate with each lecturer to ensure proper material is provided in accordance with copyright guidelines and regulations.
  • Coordinate all clerkship materials including, but not limited to, reserving appropriate lecture rooms, prepare all syllabi, handouts, sign-in sheets, and lecturer evaluations.
  • Coordinate notifying faculty, residents, community preceptors, and students of clerkship schedules, preparing weekly schedules, bulletin boards, and OASIS and SharePoint notifications.
  • Serve as the primary contact for students; liaison between students and the Clerkship Director, encouraging the students to seek assistance as appropriate during their rotation. Communicate identified system problems (and potential solutions), using discretion and independent judgment, to the Clerkship Director, Associate Director, administrative officer or department chair/associate chair as appropriate.
  • Provide primary support for the Clerkship Director and Associate Director in matters relating to the community neurology portion of the clerkship, and function as their representative as needed.
  • Calculate and report the clerkship final grades for each medical student.
  • Participate in and support meetings and activities associated with medical students as appropriate, e.g., elective sign-up, exam proctoring, etc.
  • Participate in and support Education Committee and Clerkship Curriculum Committee meetings and activities associated with medical student education consistent with COMSEP curriculum guidelines.
  • Maintain and update accurate rotation information on the students' designated program (i.e., OASIS, SharePoint.)
  • Maintain and update accurate rotation information on the Pediatric Department web site related to the student clerkship.
  • Distribute evaluations electronically on student's performance to various faculty and residents. Solicit comments from evaluations for Grade Comments for Dean's letter for every student on every rotation.
  • Send reminders to students as needed for their evaluation of the rotation via OASIS.
  • Ensure that all requests for MS4 student recommendation and assessment letters are filled and deadlines are met. Responsible for drafting each student's Chair Letter and uploading final letters to ERAS prior to the national deadline for their respective Clerkship.
  • Assist Clerkship Director with mid-clerkship reviews and properly reports the information to the School of Medicine.
  • Coordinate with community partners for documentation, training, housing, and any other associated needs at that location. Act as liaison between students and community partners to resolve any unforeseen housing or other needs that arise.
  • Provide assistance to the Clerkship Coordinators in Salina and Wichita with student curriculum requirements, textbooks, NBME Self-Test Vouchers, updated changes to any lecture material, lecture handout books, evaluation and feedback for rural track students, and compile and enter grades for students in Salina.
  • Maintain and review clerkship program information in appropriate programs dictated by Clerkship faculty and School of Medicine.
  • Receive student's patient log's summaries from Educational Technology. Input student's performance numbers into database for tracking.
