We are seeking a detail-oriented and organized Administrative Assistant to support daily office and accounting functions.
The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage
multiple priorities while ensuring accurate and timely financial and administrative processing.
Key Responsibilities Accounts Receivable- Prepare and issue customer invoices accurately and in a timely manner.
- Monitor customer accounts and ensure proper billing records are maintained.
- Respond to customer inquiries regarding invoices and account balances.
- Review and approve vendor invoices for accuracy and completeness.
- Submit approved invoices to Accounts Payable for payment processing.
- Maintain organized records of vendor billing and payment documentation.
- Monitor outstanding customer balances and follow up on overdue accounts.
- Communicate professionally with customers regarding payment status.
- Resolve payment discrepancies and assist in reducing aged receivables.
- Enter journal entries accurately into the accounting system.
- Gather supporting documentation and submit journal entries for management approval.
- Assist with month-end closing activities and financial record maintenance.
- Maintain organized files and records, both electronic and paper.
- Assist with reporting, data entry, and document preparation.
- Support management with various administrative projects and tasks as needed.
- Answer phones, respond to emails, and provide general office support.
- High school diploma required, associate's degree in business, Accounting, or related field preferred.
- 2+ years of administrative, bookkeeping, or accounting support experience preferred.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Experience with accounting software is preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Strong problem-solving and time-management abilities.
