Legal Secretary
CB Partners is supporting a leading organization seeking a highly organized Legal Support Specialist to manage case intake, document processing, correspondence, and litigation support activities. This role ensures accurate case handling, flawless documentation, and timely coordination with attorneys, agencies, and clients.
What You’ll Do- Input and validate new charges, ADLs, and complaints into the LCS system.
- Review, sort, and process daily mail, faxes, and emails including dismissals, RFIs, litigation transfers, and client documents.
- Upload and organize client documents within designated extranet folders.
- Finalize and quality‑check agency correspondence, responses, and representation letters.
- Provide clerical support such as filing (electronic & paper), copying, scanning, faxing, and preparing USPS/Fed Ex packages.
- Update firm systems with status changes, deadlines, extensions, phase updates, and internal notes.
- Review tax documents for settled matters, resolve compliance issues with attorneys, request settlement checks, and process final check mailings.
- Support the litigation team by staging, scanning, indexing, coding, and Bates labeling documents for Relativity; coordinate with outside vendors as needed.
- Draft and distribute professional correspondence and memoranda; maintain a well‑organized electronic and paper filing system.
- File documents and correspondence into the firm’s electronic library following firm and client protocols.
- Strong organizational skills with the ability to manage multiple tasks under tight deadlines.
- Ability to work efficiently across multiple client systems and software environments.
- Clear and professional communication skills with strong interpersonal tact.
- Excellent proofreading abilities with attention to grammar, spelling, and formatting accuracy.
- Strong skills in Microsoft Word, Excel, and web‑based applications and research tools.
Education Required:
- Demonstrated experience in legal administrative support, case processing, or document management.
- Strong experience working within complex databases or case management systems.
