The Document Control Assistant is responsible for maintaining the integrity, accuracy, accessibility, and security of project documentation throughout its lifecycle. This role ensures documentation complies with company, client, and industry standards while supporting internal and external project teams.
Key Responsibilities Document Lifecycle Management- Manage the full lifecycle of project documents, ensuring accuracy and consistency.
- Maintain and verify Title Block details including Document Number, Title, and Revision.
- Control and track document revisions to ensure version accuracy.
- Enforce established document control procedures and standards.
- Ensure documentation complies with industry standards and client-specific requirements.
- Verify documents meet quality and formatting standards prior to release.
- Ensure appropriate signatures and approvals are obtained.
- Maintain secure handling of confidential and sensitive information.
- Respond to document-related inquiries in a timely manner.
- Track and manage incoming and outgoing documents.
- Communicate effectively with internal teams and external stakeholders.
- Serve as a Subject Matter Expert (SME) for Electronic Document Management Systems (EDMS), including:
- SDx
- Document Locator (DL)
- Procore
- Aconex
- Share Point
- Provide training and guidance to internal and external users.
- Ensure effective archiving of project documents for long-term retrieval after project completion.
- Bachelor’s Degree preferred
- 2–5 years of experience in Document Management or Document Control
- Advanced proficiency in Microsoft Office
- Experience with Hexagon SDx, Document Locator (DL), Procore, Aconex, SharePoint, and Autodesk
- Strong attention to detail
- Effective time management
- Excellent verbal and written communication skills
