Legal Billing Specialist
Location: Kansas City, MO
Work Arrangement: Hybrid (in-office initially; hybrid schedule available once trained)
Employment Type: Full-time
Salary Range: $50,000–$70,000 annually, commensurate with experience
We are seeking a detail-oriented Legal Billing Specialist to support all aspects of the client billing cycle. This role is responsible for ensuring accurate, timely, and compliant billing; preparing financial reports; and tracking and following up on accounts receivable. The ideal candidate brings strong analytical skills, experience with legal billing guidelines, and the ability to work collaboratively with attorneys, operations, and clients.
Key ResponsibilitiesPrepare weekly, monthly, quarterly, and year-end billing and financial reports for clients and internal teams
Apply firm, IP, and client-specific billing guidelines, fee schedules, processes, and systems
Review and distribute draft bills; edit invoices as needed
Prepare bills, e-bills, cover letters, and discount summaries prior to distribution
Open and request CIMS (Customer Invoice Management System) access as needed
Track accounts receivable, communicate outstanding balances, and follow up with past-due clients
Ensure accuracy of all billing information, including client data, attorney rates, tax details, and activity codes; communicate updates to supervisors and operations
Review and verify billing accuracy and supporting documentation
Submit invoices for client payment via email and online billing portals
Email and mail invoices to clients
Respond to client billing inquiries by researching issues, determining status, coordinating with supervisors, and delivering timely and accurate responses
Participate in special projects as assigned
Bachelor’s degree preferred; equivalent combination of an Associate’s degree and relevant work experience will be considered
3–5 years of client billing experience in a similarly sized, multi-office professional services organization
Excellent written, verbal, and interpersonal communication skills
Strong analytical, problem-solving, and organizational abilities
High attention to detail with the ability to analyze and process complex billing information
Ability to manage multiple priorities in a deadline-driven environment
Proficiency in Microsoft Office, including Outlook;
advanced Excel skills requiredExperience with accounting and timekeeping systems such as Quick Books, TABS, or similar platforms is highly preferred
Proven discretion in handling confidential data and strong proofreading skills
Hybrid schedule available once trained
