SUMMARY

Infinity Sign Systems is seeking a detail-oriented, organized, and self-motivated Permitting Specialist to support permitting, licensing, and administrative functions.

Reporting to the Director of Operations, this role is responsible for researching code requirements, preparing and tracking permit applications, coordinating inspections, maintaining required business and contractor licenses, and providing office and administrative support.

ESSENTIAL RESPONSIBILITIES/FUNCTIONS Permitting
  • Research city, county, and state sign codes, zoning regulations, and permitting requirements, including size, height, setbacks, illumination, EMCs, and historic district requirements.
  • Maintain current code requirements, jurisdiction contacts, and permitting information.
  • Prepare, submit, and track permit applications and supporting documentation through approval.
  • Assemble required permit documents, including site plans, elevations, structural and electrical information, engineering documents, authorization forms, and other jurisdiction-specific requirements.
  • Communicate with planning, zoning, and building departments; respond to review comments and resolve permitting issues.
  • Coordinate with Sales and Project Management to identify code requirements and communicate permit status, approvals, and required changes.
  • Prepare variance and special-use applications and attend municipal meetings or hearings when necessary.
  • Schedule and coordinate required inspections, resolve deficiencies, and obtain final approvals.
  • Maintain accurate permit records, reports, approvals, receipts, inspection dates, and project documentation.
Business & Contractor Licensing
  • Research and maintain required business licenses, contractor registrations, specialty licenses, and related compliance requirements.
  • Prepare, submit, track, and renew licenses and registrations for applicable cities, counties, states, and agencies.
  • Communicate with licensing agencies to resolve application issues, deficiencies, and requests for additional documentation.
  • Monitor expiration dates, regulatory changes, and annual reporting requirements to maintain company compliance.
  • Maintain organized licensing records, databases, certificates, and supporting documentation.
Office & Administrative Support
  • Provide light office management and administrative support to assist with day-to-day operations.
  • Answer incoming phone calls and route calls to the appropriate team member.
  • Create and organize project/job folders and maintain established filing systems.
  • File and archive completed and invoiced job folders.
  • Organize, box, and label older company files and records as needed.
  • Assist with completed-job emails and other project closeout communications.
  • Download, organize, and file project completion photos.
  • Assist Project Managers with administrative and project-related tasks as needed.
  • Help maintain an organized, professional, and efficient office environment.
  • Perform other duties or responsibilities as required or assigned.

  • Ability to manage multiple projects, applications, and deadlines.
  • Strong written and verbal communication skills.
  • Ability to research and interpret codes, regulations, and permitting requirements.
  • Basic ability to read site plans, elevations, blueprints, and shop drawings.
  • Proficiency in Microsoft Office, including Excel and Word.
  • Strong problem-solving and follow-through skills.
  • Ability to work independently while collaborating effectively with others.
  • Ability to perform in a fast-paced and changing environment.
  • Professional demeanor and strong customer service skills.
EDUCATION/CERTIFICATIONS/EXPERIENCE
  • High school diploma or GED required.
  • Previous permitting, licensing, construction administration, project coordination, or related experience preferred.
  • Experience obtaining permits at the local level, preferably within the sign, construction, utility, or related industry, preferred.
  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Excellent organizational, customer service, and relationship-building skills.
  • Ability to work independently, follow direction, and meet deadlines.
