As Mid-American Wealth Advisory Group continues to grow, we are interested in connecting with highly experienced Executive Assistants who have a strong background supporting CEOs and high-level executives.
We are looking to meet professionals who understand the demands of working directly alongside a CEO in a fast-paced, high-performing organization. This is not a traditional administrative support role. The right individual will be highly organized, proactive, professional, and capable of keeping executive priorities moving without needing constant direction.
Key Responsibilities- Manage and coordinate the CEO's calendar, appointments, meetings, and scheduling priorities.
- Attend meetings alongside the CEO and take clear, detailed notes.
- Track action items, decisions, deadlines, and commitments from meetings.
- Follow up with leadership, employees, vendors, and external contacts on outstanding items.
- Manage and organize executive correspondence and communications.
- Draft and prepare emails, meeting materials, and other correspondence as needed.
- Ensure important communications and requests receive timely follow-up.
- Prepare the CEO for upcoming meetings, appointments, and commitments.
- Maintain and prioritize ongoing executive tasks and follow-up items.
- Coordinate communication between the CEO, leadership team, and other key contacts.
- Assist with executive-level projects and company initiatives.
- Anticipate the CEO's needs and proactively address scheduling, communication, and organizational matters.
- Handle confidential business and executive information with the highest level of discretion.
- Serve as a trusted extension of the CEO and help ensure priorities move from conversation to completion.
- Minimum of 5 years of direct experience supporting a CEO or equivalent top-level executive.
- Experience supporting a CEO within a successful, high-performing or high-net-worth organization.
- Proven experience managing complex executive calendars, meetings, correspondence, and follow-up.
- Exceptional organization and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and adjust quickly when priorities change.
- Strong judgment and ability to operate independently.
- High level of professionalism, confidentiality, and discretion.
- Ability to anticipate needs rather than waiting to be given direction.
- Strong follow-through and accountability.
We are specifically interested in professionals who have already spent at least 5 years directly supporting a CEO or equivalent executive and understand the expectations that come with operating at this level.

General administrative assistant, receptionist, office coordinator, or entry-level Executive Assistant experience does not meet the experience requirements for this opportunity.
