The Project Manager is a critical role responsible for managing the entire life cycle of pavement preservation and asphalt projects, from initial scoping and bidding through final execution and closeout. This role requires a blend of technical expertise in estimating, strong organizational skills for project management, and on-site operational support to ensure quality, safety, and profitability.
Requirements Projects & Bids Procurement- Scout, plan, and review potential projects across State (e.g., KDOT), City, County, and private sectors.
- Analyze bid documents, drawings, and specifications to understand project scope, verify quantities, and material requirements.
- Calculate square yards, materials, labor hours, trucking, and equipment needs for successful completion of the project.
- Perform on-site or virtual project reviews, take measurements, and develop clear scopes of work.
- Source materials and subcontractor services, request and compare quotes, and confirm availability and delivery timelines
- In collaboration with Preconstruction Director Maintain a running database of past bids, production rates, labor hours, equipment usage, and material pricing.
- Record supplier quotes for aggregate, emulsion, oil, trucking, and subcontracted services to track seasonal or market fluctuations.
- Compare estimated versus actual job costs to evaluate accuracy and identify trends.
- Update internal cost libraries to reflect supplier rate changes or haul-distance adjustments.
- Utilizing B2W Estimate, develop detailed cost estimates, including scope notes, inclusions, and exclusions.
- Gather and verify current pricing for all materials from approved suppliers.
- Coordinate with suppliers to confirm freight rates, plant locations, certifications, and lead times.
- Submit formal proposals through bid portals or direct communication and follow up with clients or agencies.
- Review awarded contracts to ensure alignment with submitted bids and verify terms, quantities, pricing, and billing terms
- Prepare estimate budget file, including detailed work item phase codes, for export into Vista accounting software.
- Complete project submittal documents, schedule, and represent Vance Brothers at preconstruction meeting with project owner.
- Conduct a detailed project handoff with cost breakdowns, production targets, and supplier contacts for field operations.
Project Planning & Scheduling
- Review project plans and worksite to identify, eliminate, correct, or mitigate safety issues.
- Develop work schedules and coordinate crews, materials, and equipment to meet production targets and deadlines in adherence to safe production.
- Communicate with project owner and field supervisor n to confirm start dates, traffic control needs, and material deliveries.
- Stage work sites in advance by coordinating the delivery and stockpiling of aggregate, emulsion, and equipment.
- Anticipate weather, supplier lead times, and crew availability when planning daily production goals.
- Track daily production, labor, equipment, fuel, and material usage against estimated budgets.
- Review invoices, verify purchase order (PO) accuracy, and control spending to maintain job profitability.
- Identify and document any scope changes or overruns early to avoid cost surprises.
- Visit job sites regularly to ensure work meets company and owner specifications.
- Support superintendent in problem-solving, production pacing, and safety compliance.
- Serve as the main contact for customers, inspectors, and suppliers throughout the project.
- Provide progress updates, resolve concerns, and maintain professional relationships.
- Prepare and review progress quantities to ensure billing, invoicing, or pay estimates are submitted within contract/project specifications for timely payment.
- Confirm all work is complete and meets contract standards.
- Finalize billing, verify quantities, and prepare project summaries.
- Review job performance compared to estimates to capture lessons learned for future bids
