Job Description
The Patient Records and Implant Inventory Clerk plays a central role in supporting clinical education and patient care by managing all aspects of dental patient documentation. This position ensures that records are accurate, secure, compliant with regulatory standards, and easily accessible to faculty, students, and clinical staff. The role blends technical precision with excellent communication and a strong commitment to patient confidentiality.
This role ensures that students, residents, and faculty have timely access to the correct implant parts for patient care and training. The clerk maintains accurate inventory levels, oversees ordering and distribution workflows, and collaborates closely with clinical departments to keep implant operations running smoothly.

Key Responsibilities- Ensure compliance with FERPA, HIPAA, and institutional policies regarding data privacy and record retention.
- Coordinate with clinic faculty and student providers to resolve incomplete, inaccurate, or missing documentation.
- Manage record requests from patients, referring providers, and internal departments while upholding confidentiality standards.
- Support the onboarding of dental students by training them in proper documentation practices and record-keeping protocols.
- Monitor and maintain secure storage systems for archived records.
- Maintain accurate inventory of implants, abutments, surgical components, drivers, and related supplies across predoctoral and postgraduate clinics.
- Process implant part requests submitted by students, residents, and faculty, ensuring correct item selection and timely fulfillment.
- Track usage patterns and anticipate supply needs to prevent shortages or overstocking.
- Receive, label, and store incoming implant shipments according to manufacturer and institutional guidelines.
An Associate’s degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications- Experience with electronic health record systems (preferably dental EHR platforms such as axiUm).
- Strong understanding of medical/dental terminology and documentation standards.
- Exceptional attention to detail and organizational skills.
- Ability to maintain strict confidentiality and handle sensitive information with professionalism.
- Strong communication skills for interacting with students, faculty, staff, and patients.
The anticipated hiring range for this position has been established as $20.00 - $23.00 per hour.
