Job Title

Full‑time Accounting Specialist – Accounts Payable or Accounting Assistant – Accounts Payable at Colby Community College.

Salary
  • Accounting Specialist: $21.00 – $22.50 per hour
  • Accounting Assistant: $19.00 – $20.50 per hour

Qualifications
  • Accounting Specialist:
    Associate’s Degree or two years of directly related experience (Bachelor’s preferred); experience with accounts payable, invoices, purchase orders, expense reports, W‑9s, and 1099s.
  • Accounting Assistant:
    High school diploma or GED (Associate’s degree preferred); at least six months of finance/accounting experience preferred.
Essential Duties – Accounting Specialist
  • Manage and process all accounts payable transactions to ensure timely and accurate payments to vendors, contractors, and service providers.
  • Review invoices, purchase orders, and expense reports for accuracy, proper coding, and approval authorization.
  • Maintain vendor records and ensure compliance with W‑9, 1099, and other regulatory documentation requirements.
  • Ensure compliance with college financial policies, internal controls, and applicable state and federal regulations.
  • Maintain accurate documentation for audits and assist auditors during annual reviews.
  • Prepare and process year‑end closing entries and related accounts payable tasks.
  • Monitor spending trends and identify opportunities to improve efficiency and cost control.
  • Support training for faculty and staff on expense reporting and procurement procedures.
Essential Duties – Accounting Assistant
  • Assist in tracking fixed‑asset activity.
  • Review and process all accounts payable transactions for accuracy and timely payments.
  • Analyze invoices, purchase orders, and expense reports for proper coding and authorization.
  • Resolve discrepancies promptly and elevate more complex issues.
  • Manage aging reports and payment schedules.
  • Assist in implementing and maintaining electronic payment and record‑keeping systems.
  • Collaborate with auditors, vendors, and external parties to resolve payment or compliance issues.
