Position SummaryThe District Registrar serves as a vital point of contact for current and prospective Chapel Hill-Carrboro City Schools (CHCCS) families by delivering exceptional customer service in person, via phone, and through email. This position facilitates the student registration process, particularly assisting families who are unable to complete online applications. This role requires frequent interaction with students and families, many of whom may be Spanish-speaking.
Fluency in Spanish is strongly preferred to support communication, provide translations of school documents, and facilitate interpretation during parent meetings.
The District Registrar reviews and processes registration and enrollment documentation to ensure full compliance with federal, state, and local policies and laws. A key function is to verify student residency using the district’s assignment map and to ensure proper school placement. The position requires close collaboration with various departments including exceptional children, transportation, and school-based staff to support a smooth school transition for newly enrolled students.
Additional responsibilities may include managing student transfers, address changes, and domicile investigations, as well as performing other duties related to enrollment and student assignment. Maintaining strict confidentiality and exercising professionalism and efficiency are essential to success. The ideal candidate will be detail-oriented, customer-focused, and committed to upholding CHCCS values and goals in all interactions and processes.
- Provide excellent customer service to current and prospective CHCCS families in person, by phone, and by email.
- Handle all work matters efficiently, professionally, and confidentially while upholding service quality.
- Assume primary responsibility for the registration of all new students in grades K-12 and address changes for current students.
- Facilitate the registration process for families who cannot complete online applications, including registration for magnet programs lottery.
- Review and process required registration and enrollment documents to ensure compliance with federal, state, and local laws and policies.
- Review documentation and make school assignment decisions in accordance with applicable laws and policies.
- Utilize the district’s student assignment map, GIS systems, and property tax records to determine domicile for CHCCS students.
- Create and maintain files for registration, address changes, in-district and out-of-district transfers.
- Collaborate with departments such as business and financial services, exceptional children, transportation, school data managers, school counselors, social workers, International Welcome Center, and the McKinney-Vento program to support enrollment.
- Maintain strict confidentiality of student data consistent with board policy and FERPA.
- Facilitate translation and interpretation services for families daily, primarily in Spanish, and in other languages as needed.
- Assist with other enrollment-related tasks, including magnet programs lottery, student transfers, and domicile determinations as assigned.
- High school diploma or equivalent.
- Strong interpersonal and customer service skills.
- Ability to manage multiple tasks with attention to detail and deadlines.
- Demonstrated cultural competence and ability to work with diverse populations.
- Associate’s degree or higher in education, administration, or a related field preferred.
- Fluency in Spanish (oral and written) strongly preferred.
- Proficiency in Infinite Campus or a similar Student Information System (SIS) platform preferred.
- Ability to safely and successfully perform the essential job functions in accordance with ADA and other standards, including meeting productivity expectations.
- Ability to maintain regular, punctual attendance in line with applicable standards.
