Responsible for supporting the financial and operational management of assigned real estate assets, including real estate accounting, financial analysis, budgeting, cost tracking, forecasting, and other asset-related projects. Provides day-to-day support for portfolio management, including coordination with tenants, vendors, and internal departments, while assisting with accounting, reporting, and administrative functions.
ESSENTIAL JOB DUTIES AND FUNCTIONS- Prepare, reconcile, and monitor annual budgets, quarterly latest view reporting, monthly P&L reviews, and year-end accruals.
- Assist with financial analysis of leases, licenses, and other transactions.
- Verify and reconcile tenant sales reports and percentage rent calculations.
- Support lease administration, including data collection, data entry, and critical date tracking.
- Coordinate the import of new leases, amendments, and related documents into the company’s accounting and property management systems, including YARDI integration.
- Maintain accurate lease data and track deadlines for expirations, renewals, and government submittals.
- Assist with contract administration, including third-party agreements, renewals, and modifications.
- Coordinate with external legal counsel to ensure proper documentation, execution, and records retention of all contracts.
- Prepare and process legal documents for execution, scanning, and filing.
- Support construction-related administrative requirements, including bonds, permit fees, renewals, and related documentation.
- Track critical deadlines for permits, governmental submittals, and third-party obligations.
- Assist with annual asset plans, leasing criteria, and preparation of annual and five-year plan presentation materials.
- Provide support for asset valuations and financial reporting for portfolio-level decision-making.
- Undertake special projects, research, and other asset management initiatives as assigned by management.
- Interface with Accounting, Financial Services, Legal, and other departments to provide necessary data and support.
- Communicate with tenants, service providers, and project applicants to furnish or obtain information.
- Assemble information and prepare correspondence, reports, and materials for internal and external use.
- Schedule appointments, respond to inquiries, and direct external parties to appropriate personnel.
- Maintain organized filing systems for critical documents and contractual provisions across network and shared platforms.
- Perform similar or incidental duties as required and comply with all company policies and procedures.
Minimum:
- Bachelor’s degree in Business Administration, Finance, Accounting, or a related field; or equivalent combination of education and related work experience.
Minimum:
- 2+ years of experience in accounting, finance, lease administration, asset/property management, or related business/administrative support.
Preferred:
- 3+ years of relevant experience in accounting/financial analysis, asset/property management, or real estate administration.
- Experience in real estate, property management, or construction administration.
- Experience with real estate/accounting software.
Minimum:
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Strong organizational skills with the ability to manage multiple tasks, track deadlines, and maintain attention to detail.
- Effective written and verbal communication skills to interact with tenants, vendors, contractors, and internal departments.
- Understanding of leases, licenses, contracts, and percentage rent calculations.
- Familiarity with accounting principles and financial reconciliations.
- Knowledge of budgeting and financial reporting.

- Strong analytical and problem-solving abilities with demonstrated experience preparing budgets and quarterly reporting.
- Experience coordinating with outside vendors, tenants, or legal counsel.
- Ability to work independently as well as collaboratively in a team environment.

- Ability to manage multiple priorities, track deadlines, and work independently as well as collaboratively.
- High level of integrity and discretion when handling confidential information.
- Normal working conditions, indoors, air-conditioned.
- Usual hours are Monday-Friday, 8:00 a.m. to 5:00 p.m. Hours may be flexed and duties may require extended hours.
- This position requires frequent sitting, standing, walking and bending.
