Responsibilities
- Creates, edits, prints, stores, retrieves, and deletes documents using computer and word‑processing software.
- Prepares, reviews, and processes forms, records, reports, and applications for accuracy and conformance to established requirements.
- Checks records and forms for completeness and accuracy, evaluates information for conformance with requirements, and processes documents accordingly.
- Searches paper and electronic files, extracts, compiles, and summarizes information, and prepares periodic and special reports.
- Composes routine correspondence and letters of acknowledgement.
- Maintains paper and electronic files, revising filing systems as necessary.
- Provides general information and resolves complaints in person or over the telephone regarding rules, regulations, policies, and procedures.
- Determines the need for and makes routine orders for necessary supplies or materials.
- Makes arrangements for travel, equipment maintenance, telephone service, and other similar matters.
- Provides training and guidance to, and reviews and evaluates the work of, clerical subordinates (Office Assistant II level).
- Progressively responsible clerical experience equivalent to the Office Assistant II or III levels (minimum 0.5 years basic clerical experience; 1 year clerical experience for Office Assistant III).
- Basic experience in English grammar, spelling, and arithmetic, and the ability to read and understand instructions and communicate clearly.
- Clerical experience involving the performance of a variety of office tasks and knowledge of office practices and procedures.
- Keyboarding proficiency (40 net words per minute) required for Office Assistant II and higher.
- Supervisory aptitude required for positions with supervisory responsibility.
- Substitutions for experience may be made with a high school diploma, related coursework, or a bachelor’s degree as specified.
Position is Office Assistant III (SR-08) unless recruiting difficulties occur, in which case Office Assistant II (SR-06) may be considered.
