Position SummaryThe Administrative Assistant III serves as a secretary to a manager of a statewide program or programs and an organization of substantial complexity and scope. The role involves a variety of clerical and minor administrative duties that support the manager, requiring a close and confidential relationship and overall awareness of the organization’s activities and administrative framework.
Responsibilities- Perform clerical tasks including operating office appliances, maintaining files, and making travel arrangements.
- Compose correspondence and review outgoing communication for accuracy in format, grammar, spelling, punctuation, and typographical errors.
- Maintain a log of pending work and support office procedural systems.
- Use computers and software applications such as word processing, spreadsheets, and databases.
- Serve as telephone and walk‑in receptionist as needed, routing correspondence and providing customer service.
- Provide personal assistance to administrators or executives, attending to the administrative details of an office.
- Maintain overall awareness of the program’s or organization’s activities and administrative framework.
- Exercise sound judgment in all administrative tasks.
- Legal authorization to work: U.S. citizen, national, permanent resident alien, or eligible under federal law.
- General clerical experience:
Minimum 6 months demonstrating knowledge of English grammar, spelling, arithmetic, and the ability to read and follow oral and written instructions. - Specialized clerical experience
- Two (2) years of progressively responsible typing and/or substantive clerical work, including knowledge of office appliances and equipment, and experience in secretarial tasks such as:
- Serving as telephone and walk‑in receptionist
- Maintaining a system of files
- Making travel arrangements
- Composing correspondence
- Obtaining and presenting information from files
- Routing correspondence
- Reviewing outgoing correspondence for format, grammar, spelling, punctuation, and typographical errors
- Maintaining a log of pending work
- Using computers and software applications (word processing, spreadsheets, databases)
- One (1) additional year of progressively responsible typing and/or substantive clerical work, including:
- Providing personal assistance to an administrator or executive by attending to office details
- Having an overall awareness of the activities and administrative framework of a program or organization
- Exercise sound judgment in decision making
- Two (2) years of progressively responsible typing and/or substantive clerical work, including knowledge of office appliances and equipment, and experience in secretarial tasks such as:
- Skill:
Ability to type at least 40 net words per minute and/or take and transcribe dictation at 80 words per minute. - Special Requirements:
Ability to lift and carry items of various weights, with or without reasonable accommodation. - Driver’s License:
Some positions require possession of a valid driver’s license at the time of appointment. - Substitutions Allowed:
Relevant substitutions as described in the Minimum Qualification Requirements.
The examination for this recruitment will be conducted on an unassembled basis. The exam score is based on an evaluation and rating of your education and experience. In‑person interviews and/or further testing in Hawaii may be required at the discretion of the hiring agency.
