Hire Up Staffing is seeking a detail-oriented Administrative Assistant in Katy, Texas! This position will support the Safety and Compliance department by maintaining records, tracking employee training, processing certification documentation, and assisting with a variety of administrative tasks related to workplace safety initiatives.

Pay: $22/hr

Shift: Monday-Friday 8am-430pm

Key Responsibilities
  • Maintain and update safety-related records, spreadsheets, and tracking systems.
  • Upload and organize documentation within Safety Culture and other digital platforms.
  • Track employee safety training completion and maintain training records.
  • Process and maintain forklift certification documentation and renewal records.
  • Review records for missing information, incomplete forms, or expired certifications.
  • Enter and track accident, injury, and safety incident information while maintaining confidentiality.
  • Prepare reports, summaries, and training status updates using Microsoft Excel.
  • Follow up with managers regarding overdue training or missing documentation.
  • Organize digital files, shared folders, and safety-related records.
  • Assist with audit preparation and compliance documentation requests.
  • Provide general administrative support to the Safety and Compliance team.
Qualifications
  • Strong computer skills with the ability to quickly learn new systems and software.
  • Proficiency in Microsoft Excel, including sorting, filtering, basic formulas, and data management.
  • Experience using Microsoft Outlook for professional communication and scheduling.
  • Excellent attention to detail and accuracy in data entry and recordkeeping.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities and follow through on outstanding tasks.
  • Professional written and verbal communication skills.
  • Ability to work independently after receiving direction.
  • Dependable, professional, and able to maintain confidentiality with sensitive information.
Preferred Qualifications
  • Previous experience in an administrative support role.
  • Experience supporting Safety, HR, Compliance, Operations, or Training functions.
  • Familiarity with Smartsheet, SharePoint, Microsoft Teams, One Drive, Microsoft Forms, or similar business applications.
  • Experience maintaining employee training or certification records.
  • Knowledge of OSHA regulations, warehouse operations, or workplace safety processes is a plus but not required.
  • Previous safety administrative experience is helpful but not required.
