Keene State College invites applications for a Senior Administrative Assistant to serve as first point of contact for the department and provide high level administrative support to the athletics department and the Campus Recreation and Fitness department. All staff positions on campus support students and will be involved in student-focused activities. This is a full-time year round benefited position.
Duties/Responsibilities Administrative Support (50%)- Provide administrative support for the Athletic department and Campus Recreation and Fitness department.
- Using Microsoft Outlook calendar, and 25 live work with leadership team to set up departmental meetings, attend and take meeting minutes as requested.
- Answer calls from Rec Center front desk; draft schedule, send out and monitor all competition contracts.
- Assist the leadership team and head coaches with hiring process and assist with the department onboarding of new hires.
- Manage key dispersal, (order and receive) and process maintenance requests.
- Using the Destiny1 system, create online registrations/events for teams to purchase apparel, payments for team trips, clinics, camps.
- Responsible for all officials’ payments.
- Order office supplies for both departments.
- Other duties as assigned.
- Assist with the overall management of the business operations, travel, payable and receivable, purchasing, revenue collection for members, budget management and control, ticket office and foundation reconciliation, payroll, and inventory control.
- Assist with management of the athletic budget on a day-to-day basis.
- Forecast budget requirements and obligations to ensure maintenance of adequate funding.
- Work with KSC finance team and USNH Procurement to secure departmental purchases for both departments.
- Serve as the departmental point person with the finance department.
- Including but not limited to planning and coordinating Annual Awards banquet and Hall of Fame banquet, seasonal award celebrations, assisting with the golf tournament, and LEC/NCAA tournament hosting.
- Create VIP game passes for alumni and friends of Keene State College.
- Represent athletics at campus special events including open house, admitted student day, orientation and move in day.
- Assist with registration and generate reports for camp directors; enter manual registrations, collect, and organize health statement and release forms, participant waivers and an occasional scholarship application; make deposits of checks and cash; provide parent and camper information via, telephone, emails, and mail.
- Help with check-in.
- High school graduation/equivalent and four years of office support experience of increasing responsibility or any combination of education and experience equal to four years.
- Organizational, analytical, and problem-solving skills, attention to detail. Effective written and oral communication skills; and the ability to maintain appropriate confidentiality of sensitive information.

- The position requires work outside traditional office hours as needed to support department and campus events.
- Experience with tasks involving responsibility and requiring discretion and independent judgment.
- Proven experience as a successful team member including interest and ability to establish and maintain effective working relationships with faculty, staff, students and the general public.
- Proficiency with computer applications, including MS Word, Excel, Outlook, Access and relational databases.
- Demonstrated experience processing financials including accounts payable/receivable.
- Bachelor’s degree
- First Aid, CPR, AED certification
