The Kids Collaborative is seeking a compassionate, highly organized Family Engagement Manager to help children and families access and successfully participate in enriching out-of-school-time opportunities.
This is a unique position for someone who is equally comfortable building trusted relationships with families and managing the detailed administrative work that makes participation possible. The Family Engagement Manager helps families identify opportunities that match their children’s interests, works collaboratively to remove barriers, and manages registrations, payments, transportation, documentation, attendance, and participant information.

About the Kids CollaborativeThe Kids Collaborative builds the foundation for successful adulthood by connecting children and youth living in affordable housing with enriching opportunities throughout the community. Through partnerships with families, housing organizations, schools, and local program providers, we help remove financial and practical barriers so children can participate, belong, discover their interests, and develop the skills and confidence they need to thrive.
Key Responsibilities:Family Engagement and Advocacy
- Build trusting, respectful, and ongoing relationships with parents, caregivers, children, and youth.
- Learn about children’s interests, strengths, goals, and needs and help families identify opportunities that are a good fit.
- Conduct proactive outreach to eligible families, particularly those who are new, under-engaged, or experiencing barriers to participation.
- Help families address registration requirements, schedules, equipment, clothing, cost, and other participation barriers.
- Arrange and book transportation for participants, coordinate ride schedules, and serve as the liaison with transportation providers.
- Refer families and provide warm introductions to trusted community agencies offering additional services or support.
- Listen to family concerns, support collaborative problem-solving, and advocate with program providers when appropriate.
- Manage enrollment processes, including eligibility review, registrations, applications, approvals, deadlines, and confirmations.
- Coordinate invoices and payments to program providers and maintain accurate supporting documentation.
- Work closely with housing partners to maintain a current and accurate eligibility database.
- Manage the youth program budget, monitor commitments and expenditures, and reconcile program costs with organizational records.
- Maintain complete and timely participant, program, payment, and contact records in Apricot and other systems.
- Track attendance, participation, transportation, equipment, and other supports.
- Maintain organized records, procedures, calendars, and follow-up systems.
- Monitor attendance and completion of family and provider commitments.
- Follow up respectfully on absences, no-shows, incomplete paperwork, and unused registrations to understand barriers and determine next steps.
- Administer participation policies consistently while balancing accountability with family-centered problem-solving.
