Assistant Property Manager (Multifamily)

Hillwood Properties' Multifamily division is looking to hire an Assistant Property Manager to support our multifamily properties in the Alliance Texas Town Center. This individual performs property accounting procedures and assists in the administration, leasing and supervision of personnel.

Financial, Accounting & Administrative:

  • Collects, records, and secures rental payments, preparing and reconciling daily bank deposits with system records
  • Enters and maintains accurate financial activity, supporting deposit accounting, month-end close, and reporting requirements
  • Generates and distributes operational and financial reports (rent roll, delinquencies, deposits) in a timely manner
  • Maintains organized resident files and audits documentation at move-in, move-out, renewal, and notice stages
  • Enters activity and ensures completion of required daily, weekly, and monthly operational checklists

Collections, Compliance &

Risk Management:

  • Monitors resident accounts daily, initiating collection efforts and conducting consistent outreach on outstanding balances
  • Delivers delinquency notices and required legal documentation in compliance with company policy and local regulations
  • Manages balances owed by former residents and coordinates with third-party collection agencies as needed
  • Administers eviction process in accordance with the operations manual, ensuring proper documentation and timelines
  • Maintains compliance with Fair Housing laws, company policies, and key control procedures while staying current on regulatory updates

Property Operations & Maintenance Coordination:

  • Conducts move-out inspections, documents damages with photos, and applies appropriate chargebacks
  • Assists with inspections of vacant units to ensure readiness for make-ready and identifies needed maintenance or cleaning
  • Performs periodic inspections of common areas, identifying and reporting maintenance or safety concerns
  • Receives, logs, and tracks service requests, coordinating with maintenance for timely completion and follow-up
  • Maintains accurate records of maintenance activity and supports overall property condition standards

Leasing, Resident Experience & Team Support:

  • Supports leasing functions including tours, responding to inquiries, and preparing lease agreements
  • Provides professional customer service to residents and prospects, resolving concerns and promoting retention through renewal efforts
  • Assists in coordinating resident events in partnership with the Apartment Life team to enhance community engagement
  • Supports the Property Manager in daily operations and assumes responsibilities as directed
  • Demonstrates flexibility, responsiveness, and professionalism, including availability for after-hours needs and additional duties as assigned

Required Skills/Abilities:

  • Ability to read, write, and comprehend the English language
  • Mathematical skills in order to calculate pro-rations, bank deposits, reconcile account ledgers, identify and correct prepaid accounts, etc.
  • Possesses above-average telephone and communication skills
  • Competent ability with personal computer
    - Microsoft Office and the Internet
  • Basic knowledge of office equipment
  • Leadership and team building skills

Education and Experience:

  • Bachelor's degree preferred
  • Minimum of 2 years on-site multi-family apartment management experience

Physical Requirements:

  • Frequent walking, bending, stooping, squatting, kneeling, climbing on stairs, sitting, lifting, and carrying items weighing 20 lbs. or less
  • Frequent writing, typing, using finger dexterity, receiving and giving verbal and written communications
