Role OverviewWe are seeking a Real Estate Executive Assistant to provide dedicated one-on-one support to experienced, high-producing real estate agents. This is not a traditional office admin role — this is a business support position directly tied to agent productivity and client experience.
The right candidate will function as an operational partner who keeps transactions moving, clients informed, schedules organized, and details handled before they become problems. Key Responsibilities Agent Support & Operations- Provide direct one-on-one administrative support to assigned real estate agent(s)
- Manage calendars, showing schedules, listing appointments, and client follow-ups
- Anticipate agent needs and proactively handle administrative tasks
- Manage transaction timelines from contract to close
- Prepare and organize documents, addenda, and compliance paperwork
- Track deadlines, contingencies, and required signatures
- Coordinate with lenders, title companies, inspectors, and vendors
- Serve as a professional point of contact for clients, vendors, and partners
- Ensure clients receive timely updates throughout the transaction
- Support listing and buyer communication processes
- Maintain CRM accuracy and transaction tracking systems
- Organize digital files and ensure documentation is complete and compliant
- Track expenses, commissions, and transaction-related records as needed
- Assist with listing preparation, launch coordination, and scheduling
- Attend photography, staging, signage, and vendor appointments
- Support agent marketing execution when needed
- Prior experience supporting a real estate agent, executive, or sales professional preferred
- Strong understanding of real estate transactions, timelines, and documentation is a plus
- Exceptional organization and time management skills
- High attention to detail and ability to manage multiple transactions simultaneously
- Strong written and verbal communication skills
- Ability to anticipate needs and problem-solve independently
- Proficiency with Microsoft Office and CRM or transaction platforms
- Real estate license or transaction coordination experience is strongly preferred but not required
- Must be able to work on-site in Keller, TX
- Agents are freed up to focus on client meetings, negotiations, and lead generation
- Transactions run smoothly with minimal last-minute issues
- Clients feel informed, supported, and confident throughout the process
- Deadlines are met, paperwork is accurate, and details are handled proactively
- Work directly with experienced, productive agents
