Responsibilities
Perform a variety of administrative and clerical office support activities for multiple staff ensuring timely adherence and deadlinesSupport Multiple Partners through calendar and email management, invoicing, A/R, travel bookings/arrangements and expense reportsCalendar management - monitor and/or manage assigned partner(s) Outlook calendar. This includes responsibility for: coordinating internal and external meetings, responding to changing priorities; the coordination of meeting logistics, AV, catering and the preparation of supporting materialWork process management – review of upcoming deadlines and work requirements with the partner(s); manage the flow of work to the partner (such as: documents for review/signature)Review, modify and prepare moderately complex templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/dataProvide support with respect to the development of RFP responses, proposal development, and research requestsFormat, edit and assist in the creation of client correspondence, presentations, proposals, regularly scheduled reports and spreadsheetsAssist in formatting and preparing position profiles, candidate summaries, shortlists, skills matrices and reference reportsSupport preparation of search workplans and client update reportsClient Relationship Management (CRM) – enter, review and maintain opportunities, client account and contact information in CRM platformWork collaboratively with other team members and leadershipAssist with team meetings and team event planning, as neededRecord minutes at various meetings and distribute or archive them accordinglyUphold electronic and paper filing systemsPossess working knowledge of all systems used by the Administration team to assist with any inquiries and provide backup, as neededSkills and Experience
5+ years of increasingly complex administrative responsibilitiesCompletion of related post-secondary education in administration is an assetAdvanced to Expert skill level with Microsoft Office Suite, specifically;
Word, PowerPoint & Excel.Strong writing and formatting skills with the ability to produce polished client facing documentsExcellent judgement and strong problem-solving skills, including a proactive approach to working with staff and clients at all levels while demonstrating flexibilityStrong client service focus in dealing with both external and internal clients, displaying an image of professionalism, discretion, integrity and tactConfidence in ability to work in a highly technical and ever-changing work environmentExcellent organizational and time management skills, with the ability to manage multiple tasks simultaneouslyFlexibility to work overtime when requiredPrevious experience working in a partnership or professional services firm is an assetExperience with Proposals and the procurement process is considered an assetSome travel may be required
