Reporting to the Sales Manager, the Sales Administrator is responsible for supporting the sales function through coordination, documentation, and process management. This role ensures that sales activities are organized, tracked, and executed efficiently, enabling the sales team to focus on revenue generation and customer relationships.
The Sales Administrator acts as a central point of coordination between Sales, Service, Parts, and Finance, ensuring accurate documentation, timely communication, and smooth execution of sales transactions.
This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, customer-focused environment.
Sales Coordination & Support
Support the sales team with administrative tasks, including preparing quotes, proposals, and sales documentation
Coordinate sales activities, meetings, and follow‑ups
Track sales pipeline activity and ensure timely updates
Assist with preparation of presentations, contracts, and customer communications
Ensure all sales documentation is accurate and complete
CRM & Data Management
Maintain and update CRM systems with customer information, opportunities, and activity
Track leads, opportunities, and sales progress through the pipeline
Ensure data accuracy and consistency across systems
Generate reports on sales performance, pipeline status, and customer activity
Support implementation and optimization of CRM and sales systems
Customer Communication & Support
Act as a point of contact for customer inquiries related to sales processes
Coordinate communication between customers and sales representatives
Ensure timely responses to customer requests and inquiries
Support onboarding of new customers and setup of accounts
Maintain professional and responsive communication standards
Order Processing & Documentation
Process sales orders accurately and efficiently
Coordinate with Parts, Service, and Finance teams to ensure order fulfillment
Ensure all contracts, agreements, and documentation are properly completed and filed
Track order status and communicate updates to customers and internal teams
Support invoicing and billing processes as required
Cross‑Functional Coordination
Work closely with Parts, Service, Shop, and Finance teams to support sales execution
Ensure alignment between sales commitments and operational delivery
Assist in resolving issues related to orders, delivery, or customer expectations
Support internal communication and workflow coordination
Quality, Reporting & Continuous Improvement
Ensure accuracy and consistency of all sales‑related documentation
Identify opportunities to improve sales processes and administrative efficiency
Maintain organized records and documentation systems
Support reporting and analysis to improve sales performance
Contribute to continuous improvement initiatives across the business
Requirements
2–5 years of experience in a sales support, administrative, or coordination role
Experience in industrial, equipment, or service‑based environments considered an asset
Strong organizational and time‑management skills
Experience working with CRM systems and sales tools
Strong attention to detail and accuracy
Excellent communication and interpersonal skills
Must Haves

Certifications & Training
Experience with CRM systems (e.g., Salesforce, Hub Spot, or equivalent) considered an asset
Microsoft Office proficiency (Excel, Word, Outlook)
Business administration or related training considered an asset
Benefits
Wage:
Hourly position – range $24–28/hour
