Description
The HSE Administrative Assistant position provides overall administrative support to the HSE Department in all Delta Regions. This position is responsible for completing onboarding, client training as well as refresher training. Additionally, the HSE Administrative Assistant is responsible for generating HSE data reports, client reports, and updating record databases related to HSE support. When needed, the incumbent may also be directed to assist with other tasks or projects for other work groups within the organization.
The workload and tasks assigned will fluctuate to accommodate client and HSE Department needs and organizational changes.

- Data entry from daily HSE documents and input of information into the HSE database or electronic repositories.
- Generation of HSE reports for internal and external stakeholders as needed or requested by HSE Manager/Supervisor.
- Compilation of reports by client or as requested by members of the HSE Department when required.
- Act as a project manager for special projects, at the request of the HSE Manager/Supervisor, which may include planning and coordinating multiple projects, disseminating information, and assisting in the organization of company-wide events.
- Perform administrative functions including typing, editing, copying, proofing and preparing business correspondence, presentations, and other documents as required.
- Work independently or within a team on both non-recurring and ongoing projects in all regions.
- Provide overall administrative support when needed in other sections or departments.
- Provide administrative support in the investigation of incidents when needed.
- Provide administrative support for the Delta Short Service Employee program including communication with supervisors to track employee completion and record retention.
- Assist in coordinating with Toolbox Meetings, Weekly Safety Meetings, and other HSE training courses. Follow Delta HSE&Q Handbook and SOPs pertaining to job function.
- Attend and participate in HSE planning meetings.
- Send client documents as required.
- Other duties as assigned.
Minimum Qualifications
- High School Diploma or GED.
- Post-secondary education preferred.
- 2 years’ experience with general administrative supporting an HSE Department.
- Take and pass a pre-employment drug test and background check.
- Take and pass a Fit-For-Duty Examination.
- Computer Skills (SharePoint, PowerPoint, Excel, Word, Adobe, Outlook) commensurate with job requirements.
- Ability to read and apply critical thinking from document information.
- A working knowledge of OSHA requirements.
- A working knowledge of craft disciplines, industry terms and processes within Oil and Gas.
- Ability to communicate potential problems in a timely manner to members of HSE team.
- Works well in group setting or individually with minimal supervision.
