Job SummaryThe Office Manager helps maintain a professional, organized, and welcoming workplace at the Kennesaw home office location. This role supports daily office operations, facilities coordination, vendor communication, workplace readiness, physical access needs, and basic technology coordination to help ensure employees, visitors, and business partners have a safe, efficient, and positive office experience.
Key Responsibilities- Ensure daily office readiness, including front-of-house operations, visitor coordination, workspace cleanliness, and conference room operability.
- Manage employee workstation assignments, including placement planning, weekly workflow coordination, onboarding and offboarding readiness, headcount planning, and non-technology workstation assets, equipment, and maintenance.
- Maintain office goods and supplies, including paper, general office supplies, kitchen supplies, desk supplies, mail, deliveries, and replenishment coordination.
- Maintain common areas such as the lobby, break room, conference rooms, etc. to ensure they are clean, organized, and adequately supplied.
- Answer phones with a positive, helpful attitude and route calls to the appropriate person.
- Provide professional support to employees, leaders, visitors, and business partners while maintaining a safe, organized, and welcoming office environment.
- Coordinate partner and vendor relationships related to office operations, including points of contact, scheduling, service coordination, quotes, and invoices.
- Serve as a point of contact for landlords, building management, and preferred vendors by service type.
- Coordinate routine building support and maintenance requests; track, follow up, and help resolve facility issues including HVAC, electrical, plumbing, janitorial, technical, and related service needs.
- Participate in safety, regulatory, emergency preparedness, and disaster recovery assignments as appropriate.
- Manage physical access control, including badges, cameras, restricted areas, and access platforms for full-time employees, contracted employees, visitors, and vendors, including scheduled maintenance needs.
- Support technology infrastructure needs in partnership with technology resources and vendors, including connectivity, wireless access, AV systems, cabling, printers, telecom and network services, employee workstations, and collaboration space equipment.
- Assist with technology asset tracking and budget coordination, including inventory, support requests, replacement planning, service coordination, quotes, invoices, and vendor communication.
- Coordinate employee events, activities, meetings, trainings, engagement initiatives, and HR-related events.
- Perform other related duties as assigned.
- High school diploma or equivalent required; associate or bachelor’s degree in business administration, facilities management, or a related field preferred.
- Prior experience in office management, facilities coordination, administrative operations, or a similar workplace support role.
- Experience coordinating vendors, service providers, building management, maintenance requests, contracts, schedules, quotes, and invoices.
- Strong organizational, planning, and follow-through skills with the ability to manage multiple priorities.
- Working knowledge of office operations, space planning, workstation readiness, inventory management, mail and delivery coordination, and general workplace services.
