HVAC Commercial Coordinator

All Airs is seeking a highly organized and detail-oriented
Commercial Coordinator HVAC to support our commercial HVAC projects from quoting through final billing and closeout.

• Prepare and send commercial HVAC quotes to contractors.
• Manage new vendor documentation, COIs, and permits.
• Administer change orders and coordinate change order billing.
• Communicate project status, updates, and requirements to contractors, customers, and project teams.
• Manage project closeout documentation.
• Prepare and maintain Schedules of Values (SOVs).
• Generate invoices and manage billing administration.
• Prepare complete billing packages and communicate with customers regarding billing.
• Coordinate equipment and material purchase orders.
• Track equipment, materials, and POs in Service Titan
• Maintain accurate project records and follow up on outstanding documentation.
• Coordinate with contractors, vendors, customers, project managers, and accounting to keep projects moving efficiently.

• Commercial HVAC, construction, or project administration experience preferred.
• Experience with quoting, changing orders, billing, purchase orders, and project documentation.
• Strong organizational and communication skills.
• Excellent attention to detail and ability to manage multiple deadlines.
• Proficiency with Microsoft Office and Excel.
• Service Titan experience strongly preferred.
• Ability to work independently and collaborate with contractors, customers, vendors, and internal teams.
