Initiate the RFP process, download contract documents, and audit them against an established checklist. - Update CRM and bid tracking systems with customer info, bid details, due dates, and contacts.
- Interpret drawings, refrigeration legends, EMS diagrams, specs, and scope documents.
- Identify architectural and structural impacts on the mechanical scope.
- Perform on-screen takeoffs of refrigerant piping, fittings, insulation, hangers, equipment, electrical conduit, EMS components, and all other materials within scope.
- Build cost estimates using labor metrics, productivity factors, and cost database.
- Identify scope items requiring subcontractors or specialty vendors (insulation, electrical, controls, crane, demo) and solicit competitive proposals.
- Compare and level subcontractor quotes for scope alignment, consistent inclusions and exclusions, and accurate pricing.
- Coordinate equipment quotes with manufacturer reps for cases, racks, condensing units, EMS, and walk-ins. Confirm submittal-ready selections and lead times.
- Prepare bid proposals for sales and operations review with thorough analysis of customer needs, accurate valuation of materials, equipment, labor, sub/vendor costs, and applicable overhead and margin.
- Draft concise, unambiguous scope of work documents.
- Submit RFIs to GCs and engineers to clarify scope, design intent, or document discrepancies.
- Modify bids as the customer issues addenda, scope changes, or value engineering requests. Maintain a clean audit trail.
- Field follow-up scope-clarifying questions, adds, deducts, and negotiate when opportunities arise.
- Lead turnover meetings with sales, operations, and the project management team on awarded jobs.
- Walk the project team through the estimate, scope, assumptions, and risks.
- Coordinate with the project manager on job setup numbers, submittals, equipment orders, change orders, and closeout.
- Track win/loss results and bid feedback.
- Partner with sales and operations to refine pricing strategy, productivity factors, and scope language over time.
- Maintain labor metric library, historical cost database, and standard scope templates.
- Recommend improvements to bid templates, takeoff workflows, and estimating tools to increase accuracy, speed, and consistency.
- 5+ years in a specialty trades role such as Construction Estimation, Jobsite Coordination, or Project Management.
- Familiarity with on-screen takeoff and estimating software such as Plan Swift, Quickpen, Quote Soft, Fast Est, AutoCAD, or Revit.
- Strong Excel skills.
- Comfort with ERP, CRM, and bid tracking systems.
- Ability to read and interpret refrigeration legends, mechanical drawings, electrical schematics, EMS diagrams, specs, and contract documents. Ability to identify discrepancies and resolve them through RFIs.
- Excellent verbal and written communication skills.
- Valid driver's license with a clean driving record.
- Mechanical construction experience in HVAC, Refrigeration, or Energy Management/Controls (4+ years at Journeyman level) is a strong plus.
- Strong working knowledge of basic and advanced mechanical system design, with focus on commercial refrigeration (DX, CO2, multiplex racks) and supporting electrical, controls, and EMS systems preferred.
