SUMMARYThis position is responsible for managing student records, data collection, reporting, and assessment services in support of TC Futures programs. The role serves as the program registrar and testing coordinator, overseeing enrollment, academic records, placement and High School Equivalency testing, and related data systems. This position ensures accurate and timely reporting for state, federal, and grant requirements; maintains compliance with confidentiality and testing standards;
and collaborates with staff, instructors, districts, and testing agencies to support student placement, progress, and completion.
- Oversee student enrollment, withdrawals, transfers, re‑enrollment, and completion processes in compliance with state, federal, and program requirements.
- Maintain accurate and confidential student records, including academic records, transcripts, attendance, assessment results, and completion documentation.
- Ensure data accuracy and integrity across student information systems, case management systems, and reporting databases.
- Develop, maintain, and generate student and program reports to support internal operations, audits, grants, and external reporting requirements.
- Ensure timely and accurate data entry and reporting in compliance with state, federal, and grant requirements.
- Coordinate with instructors and program staff to track student progress, assessment outcomes, and program completions.
- Schedule, administer, and proctor High School Equivalency, placement, and other approved assessments.
- Serve as Examiner or Alternate Examiner and act as liaison to testing agencies, ensuring compliance with testing policies and procedures.
- Register examinees, prepare testing materials, reserve facilities, and maintain secure testing environments.
- Score, process, enter, and distribute assessment and placement results in accordance with established protocols and confidentiality requirements.
- Coordinate and provide appropriate testing accommodations and alternative assessment measures as required.
- Ensure assessment information is current and accurately communicated to staff, students, and partners.
- Support and/or conduct student orientation activities, including explanation of enrollment procedures, assessment requirements, and next steps.
- Provide training and support to staff related to data entry, reporting, records, and assessment procedures.
- Provide administrative support for contracts, grants, invoicing (including back‑up P223 support) and special projects.
- Assist with ensuring program compliance by providing data and documentation for surveys, monitoring visits, reports, and audits.
- Serve as a resource for staff, students, districts, and the public regarding enrollment, testing, records, and program processes.
- Follow all applicable ESD 123 Board policies, procedures, and program requirements.

- Prefer any combination equivalent to:
Two years college‑level course work in business administration, office management, office support training or related field; and/or three to five years of increasingly responsible administrative office support experience, including at least one year in an education environment. - Strong ability to collect, organize, and disseminate significant amounts of information with attention to detail and accuracy.
- Must possess strong communication, organizational, analytical, and written skills.
- Excellent computer skills: knowledge of word processing, database, and spreadsheet software; ability to demonstrate proficient computer skills.
