Schedule:

Monday - Friday (8am-5pm)

On-site in Kennewick, WA office

The Operations Coordinator is responsible for ensuring efficient day-to-day administrative operations in a construction-focused, paving and striping environment. This role serves as a central point of communication and coordination between office staff, field teams, and external vendors. The Operations Coordinator handles scheduling, document management, and office organization while supporting project teams and maintaining a professional and productive office environment.

Requirements:

  • Coordinate daily office operations, including scheduling meetings, appointments, and travel arrangements for staff
  • Serve as a liaison between office staff, field teams, vendors, and clients to facilitate communication and resolve inquiries
  • Manage and organize project documentation, permits, contracts, and records to ensure accessibility and compliance
  • Monitor and maintain office supplies and equipment, addressing any maintenance or restocking needs
  • Assist with basic accounting tasks, such as invoice tracking, expense reporting, and payroll support
  • Prepare and distribute reports, presentations, and correspondence as needed
  • Support the implementation of office policies, procedures, and safety standards
  • Track project deadlines and milestones to ensure timely completion of administrative deliverables
  • Assist in onboarding new employees by coordinating training materials and maintaining personnel records
  • Perform general office duties, such as answering phones, handling mail, and maintaining a professional workspace

Experience

Required:

  • Minimum 3 years of experience in an administrative or coordination role, preferably in the construction industry
  • Familiarity with construction documentation, terminology, and processes is highly desirable
  • Experience with ERP or construction-specific software systems preferred

Skills Required:

  • Excellent organizational and multitasking abilities
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
  • Attention to detail and accuracy in managing records and documentation
  • Ability to prioritize tasks and adapt to a dynamic, fast-paced environment
  • Strong problem-solving and critical-thinking skills
  • Collaborative mindset with the ability to work effectively with diverse teams

Education Required:

  • High school diploma or GED required
  • Valid Drivers License
  • Associate degree in Business Administration, Project Management, or a related field preferred

Physical Requirements:

  • Ability to sit for extended periods and work on a computer
  • Occasionally lift and carry office supplies or files weighing up to 15 pounds

Work Environment:

  • Standard office environment with minimal noise
  • Occasional interaction with field teams or visits to construction sites may be required
