Location: Cottonwood Elementary School
Hours: 8 Hours per Day, 201 Days per Year
Salary: $22.18–$28.80 per year.
The secretary will meet and greet visitors and substitutes, handle and route calls, perform clerical tasks and utilize various software and data entry. The lead secretary also oversees payroll, requisitions, statistical management and special assignments for the department/school. Independence, multitasking, audit of own work, and directing workflow of others are essential. Responsibilities also include scheduling the school, department, or supervisor; problem solving;
managing staff, students, and the public; and performing other assigned duties.

- Experience operating general office equipment: computer, copier, 10‑key adding machine, fax machine.
- Knowledge of Word, Excel, and other office software.
- Strong verbal and written communication skills.
- Current first‑aid card or willingness to obtain one.
- Willingness to participate in district training for computer programs and other needs.
- Associate degree or equivalent work experience in a secretarial/clerical office setting.
- Experience as a school office secretary.
- Bilingual (English/Spanish) skills.
- Experience with school district procedures: student registration, orientation, and bussing.
- Ability to work with interruptions while balancing daily office responsibilities.
- Positive evaluations and recommendations supporting character and work ethic.
- Excellent attendance, punctuality, and dependability.
- Maintain confidentiality and discretion regarding students, staff, and parents.
- Interact with students, staff, parents, and the public positively and courteously.
- Access calendars and schedule appointments for building/program administrators and support staff.
- Maintain payroll records, including pay slips and staff absence calendars; complete monthly payroll reports.
- Check out and inventory keys for building staff and substitutes.
- Prepare teacher contracts and notices of reasonable assurance for classified staff.
- Implement student registration steps, collect application packets, and schedule counseling and services.
- Enter data into Power School: demographics, manually entered grades, out‑of‑district transcripts, and other academic information.
- Prepare, log, and archive purchase orders, acquisitions, and invoices; reconcile purchase card statements; assist in budget monitoring.
