The Administrative Assistant provides day-to-day administrative and organizational support to Columbia River Plumbing's office, with a primary focus on supporting the estimating and sales process. This position helps keep information organized, documents prepared, deadlines tracked, and follow-up completed so the team can operate efficiently.

This is a fast-paced, detail-oriented office role well suited for someone who enjoys organization, working with documents and computer systems, following established processes, and helping a team stay on track. The Administrative Assistant will assist with tasks such as creating and maintaining bid folders, requesting vendor quotes, preparing and printing documents, tracking leads and bid information, maintaining files, and completing administrative follow-up.

Construction or plumbing experience is helpful but not required. The right candidate can learn Columbia River Plumbing's estimating and bid processes on the job.

WHAT SUCCESS LOOKS LIKE
  • Taking responsibility for assigned work and following tasks through to completion.
  • Accurately tracking project tasks, milestones, and documentation to help project managers and field teams keep jobs on schedule.
  • Identifying issues early, communicating updates clearly, and helping find practical solutions.
  • Providing organized administrative support with contracts, submittals, RFIs, project documentation, and sales-related tasks.
  • Using digital tools and established processes to keep information accurate, organized, and accessible.
  • Showing initiative by asking questions, learning processes, and suggesting solutions when challenges arise.
OBJECTIVES
  • Maintain and track submittals, RFI logs, equipment/material orders, and closeout procedures.
  • Support scheduling, bids, and project updates.
  • Help manage documentation, project progress, and contract administration.
  • Coordinate with field Project Manager/Field Operations, Operations, Sales, and estimating teams to maintain alignment.
  • Participate in weekly reporting and KPI tracking across project lifecycle.
  • Review contracts, organize files, and assist with sales pipeline documentation.
  • Prepare follow-ups, call logs, and customer engagement documentation (CRM tasks).
COMPETENCIES
  • Keeps multiple tasks, deadlines, and priorities organized while adjusting as needs change.
  • Works well with project managers, field staff, vendors, subcontractors, and other team members.
  • Communicates clearly and professionally through status updates, meeting notes, and customer or client communication.
  • Comfortable using Microsoft Office and Teams and learning company systems such as Build Ops.
  • Assists with organizing project documents, tracking timelines, and maintaining accurate records.
  • Helps track proposals, follow up on outstanding items, and support customers throughout the project process.
  • Willing to learn company processes, construction terminology, contracts, permitting, compliance, and safety documentation.
EDUCATION AND EXPERIENCE
  • 2+ years of administrative, coordination, or construction office experience.
  • Familiarity with plumbing, trades, or construction is a plus.
  • Associate or bachelor’s degree in business, project management, or related field preferred.
  • Experience with project coordination, office management, scheduling, or contract administration required.
PHYSICAL REQUIREMENTS
  • Primarily office-based with occasional field/site/vendor visits.
  • Prolonged periods sitting and working on a computer.
  • Must be able to lift 25 lbs.
