The Escrow Assistant provides administrative and transactional support to Escrow Officers to ensure accurate, timely coordination of real estate closings. This role assists with file setup, document preparation, customer communication, and closing support functions. The Escrow Assistant plays a key role in maintaining file accuracy, supporting customer service needs, and ensuring compliance with company escrow procedures and trust accounting standards in a fast-paced environment.
Key Responsibilities- Provide direct support to Escrow Officers with file setup, scheduling, coordination, and file monitoring
- Assist in preparing and coordinating closing transactions between lenders, buyers, sellers, and real estate agents
- Communicate with customers and partners to provide status updates and respond to transaction‑related questions
- Conduct closing support activities, including compiling loan documents and obtaining signatures as needed
- Review real estate contracts, lender instructions, and title commitments for completeness and accuracy
- Handle pre‑ and post‑closing curative matters and assist in clearing title issues
- Process earnest money transactions, including deposits, tracking, and receipts
- Assist with funding, disbursement, and balancing files in accordance with trust accounting standards
- Check files for payoffs, assumptions, and lender requirements
- Verify commissions and assist with communication to real estate agents
- Upload, organize, and maintain documents in Res Ware or other escrow systems
- Provide backup phone coverage and support front desk operations as needed
- Maintain accurate and organized electronic files and ensure all final documentation is complete and distributed appropriately
- Ensure compliance with company policies, escrow standards, and trust accounting procedures
- Interact and communicate in a professional and effective manner with all levels of team members, leadership, customers, and external partners.
- Perform other functions as necessary or as assigned.
- High school diploma or general education degree (GED); or equivalent combination of education and experience
- Minimum one year of escrow or closing experience preferred
- Working knowledge of real estate contracts and escrow processes
- Strong organizational skills with high attention to detail and accuracy
- Ability to manage multiple tasks and deadlines in a fast‑paced environment
- Strong verbal and written communication skills
- Excellent customer service and interpersonal skills
- Proficiency with Microsoft Word, Excel, Outlook, and other Windows‑based applications
- Experience supporting Escrow Officers or closing teams
- Familiarity with escrow/title systems (e.g., Res Ware)
- Knowledge of closing statements, lender requirements, and title commitments
