Job Duties
- Assist Program Director with general correspondence, surveys, funding, applications, scheduling appointments, and self‑study reports
- Maintain records regarding Staff, Faculty, Academic Progress, Curriculum, and Advisory Committees
- Purchase and inventory all office equipment/supplies
- Purchase all instructional and laboratory (medical) supplies
- Coordinate/schedule various PA Program Committee meetings
- Assist Program Director in coordination and data collection for self‑study purposes
- Compile information for accreditation
- Tracks, stocks, orders, and inventories office supplies to ensure adequate materials are available for workplace operation
- Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
- Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- Serves as first point of contact for individuals and groups providing basic organizational information via phone, in person, and through other communication mediums, routing more complex inquiries to the appropriate entities
MAPA Program in the Academic College
Compensation$17.59 - $20.00 per hour depending on qualifications and experience.
Required Qualifications- At least 2 years of experience in an administrative assistant role
- Requires ability to manage multiple and varied tasks with frequent high levels of urgency or sensitivity
- Must be able to work collaboratively and effectively with colleagues in a team environment
- Good interpersonal skills are required both written and oral
- Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
- Ability to lift 5 lbs.
- Demonstrates proficiency in communication (written and verbal)
- Strong attention to detail
- Effectively manage and organize daily tasks independently and with a team while balancing multiple projects and meeting deadlines
- Accuracy and productivity in completing tasks
- General Administrative Duties
- A high degree of interpersonal competency: professionalism, diplomacy, judgement, and discretion
- Demonstrated ability to develop positive and cooperative relationships with students, faculty and colleagues
- Ability to solve complex problems and meet deadlines
- Exceptional analytical problem‑solving skills, collaboration, and matrix management skills
Requires a minimum of a high school diploma or GED.
Prefer associate's degree or higher.
