Position: Office Assistant 3 (OA3) - Reentry

Office Assistant 3 (OA3) – Tacoma Reentry Center, Tacoma, WA

Provides administrative support to staff and residents at the Reentry Center, assisting with documentation, resident transitions, and facility operations.

Responsibilities
  • Create and manage files for newly arriving residents, including intake forms and legal documents.
  • Enter and maintain OMNI entries for resident movements, caseloads, housing assignments, and transfer orders.
  • Review and respond to resident correspondence concerning placement and banking.
  • Maintain and process Trust Account System tasks.
  • Complete, submit and update weekly and monthly reports such as mileage, credit card, interpreter, out‑of‑county release, copier counts, volunteer and RPM reports.
  • Close and archive resident files; ensure documents are stored per DOC State Archive Policy by scanning and indexing into electronic systems.
  • Make photocopies of handbooks, forms, manuals and other documents as required.
  • Pick up and distribute mail to facility staff and process mail for released residents.
  • Order and maintain office supplies, forms, equipment and other items.
  • Ensure office equipment is maintained and assist in internal audits.
  • Complete monthly reports, purchasing, bill payments, and resident PREA housing reviews.
  • Attend all staff meetings.
Required Qualifications
  • High School Diploma or equivalent GED.
  • Two years of office/clerical experience.
  • Typing speed of 40 WPM.
  • Proficiency in creating, modifying, printing, and formatting spreadsheets and basic formulas.
  • Proofreading skills to identify and correct errors in written material.
  • Ability to maintain confidentiality.
  • Ability to work accurately and independently with minimal supervision.
  • Exceptional customer‑service skills.
  • Ability to navigate the internet for DOC and incarcerated‑individual related information.
Preferred Qualifications
  • Experience with WA DOC databases such as OMNI, OnBase, CePrison, and Trust Account System.
Special Requirements and Conditions of Employment
  • Maintain regular and reliable attendance.
  • Complete a felony disclosure form prior to employment and submit to a criminal background check.
  • Successfully complete all mandatory orientation, annual, and in‑service training within specified time frames.
  • Provide a physical residential address and home telephone number to the Department of Corrections.
  • Familiarize with and comply with all Department policies, procedures, and collective bargaining agreements.
  • Submit to drug testing in accordance with policy.
  • Position is included in a union shop.
  • Maintain confidentiality of information obtained through job performance.
  • Possess a valid driver’s license in Washington State.
Benefits and Compensation
  • Fourteen to twenty‑five paid vacation days per year, based on tenure and collective bargaining agreement.
  • Eight hours of paid sick leave per month.
  • Eleven paid holidays per year, including one personal holiday.
  • One personal leave day per year, under collective bargaining agreement.
