Plant Administrative Assistant

Essential functions include:
- Retrieving messages from voice mail and forwarding to appropriate personnel.
- Answering incoming telephone calls, determining purpose of callers and forwarding to appropriate personnel or department.
- Taking and delivering messages or transferring calls to voice mail when appropriate personnel are unavailable.
- Answering questions about organization and providing callers with address, directions or other information.
- Welcoming on-site visitors, determining nature of business, and announcing visitors to appropriate personnel.
- Monitoring visitor access and issuing passes when required. Ensuring all visitors and contractors read and understand company's good manufacturing practices.
- Calling to schedule appointments and interviews.
- Updating appointment calendars.
- Receiving, sorting, and routing mail and maintaining and routing publications. Signing for and routing all office Federal Express and UPS deliveries.
- Maintaining fax machines, assisting users, sending faxes, and retrieving and routing incoming faxes.
- Submitting issue-traks for any needed issue that arises regarding the office.
- Coordinating the ordering and receiving of uniforms for employees. Using Oracle to submit requisitions and forward purchase orders for suppliers, distribution and tracking of uniforms.
- Creating and posting all PowerPoint presentations and other communication to the Marlin board.
- Keeping clean work area and common spaces.
- Assisting in ordering and coordinating all plant events (Open House, community involvement activities, plant visits, holiday party).
- Assisting employees with necessary forms, paperwork, and HR systems (Workday, Niagara U, etc.) as needed.
- Distributing and tracking weekly safety talks to supervisors and employees.
- Ordering, receiving, and maintaining office supplies.
- Creating and printing fax cover sheets, memos, correspondence, reports, and other documents when necessary.
- Performing other clerical duties as needed, such as filing, photocopying, and collating.
- Regular and predictable attendance is an essential function of the job.

Qualifications:
- Minimum Qualifications:
- 2 Years – Experience in field or similar manufacturing environment
- 2 Years – Experience in position
- 0 Years – Experience managing people/projects

- 4 Years – Experience in field or similar manufacturing environment
